The Maintenance Office Receptionist provides administrative support and serves as the main communication hub for the Maintenance Department. Responsibilities include managing calls, work orders, schedules, and visitor interactions, as well as handling clerical tasks such as filing, mail, supplies, and meeting coordination. This role helps maintain efficient operations and supports the overall effectiveness of maintenance services.
Responsibilities include:
- Respond promptly to customers by answering incoming phone calls, facilitating call transfers, and taking messages.
- Enter work orders received by phone, email and internally then follow up on status with maintenance technicians assigned.
- Correspond with tenants to clarify maintenance work needed when necessary.
- Correspond with utility companies regarding the status of service to establish or re-establish utility services.
- Perform regular mailing, sorting, scanning, and filing of paperwork within internal software systems (Yardi).
- Work with internal roles to sort and distribute paperwork.
- Serve as a backup for facilities coordination.
- Serve as back up to supervisor for critical duties.
- Assist with other clerical duties as assigned.
Qualifications:
- High School diploma or equivalency.
- Two years of clerical experience in an office environment.
- Familiar with standard office equipment such as computers, multi-line phones, photocopiers and fax machines.
- Strong communication, typing, data entry and organizational skills.
- Ability to lift and move packages up to 35 pounds on an occasional basis.
- Proficient in Microsoft Office products.
