Job Description
We are seeking a highly organized and proactive Project Manager to support Research Intelligence Navigation. This role will be responsible for understanding and communicating complex processes, developing and maintaining resources, providing high levels of customer service, and ensuring smooth communication across all levels of the organization. Additionally, the role will involve project management responsibilities, ensuring the timely completion of projects, tasks, and initiatives. The ideal candidate will be a skilled multitasker with strong communication, organizational, customer service, and project management abilities

Plans, manages, and coordinates project activities to ensure goals and objectives of multiple and large projects are accomplished within prescribed time-frame and funding parameters. Establishes timelines and ensures project deadlines are met. Maintains integrity and cost containment of projects.

Job Responsibility

  • Plans, manages, and coordinates projects and ensures project initiatives and timelines are met. Develops project initiation process by defining project scope, determining action items, assigning ownership, creating project timetables, and tracking execution and workflow; prepares, presents and distributes project status reports.
  • Evaluates, plans, and monitors project implementation for clinical systems; manages project and project delivery teams, ensures deadlines are met, escalates issues for appropriate, timely resolution and adheres to standardized project management methodologies.
  • Develops interdisciplinary project teams in coordination with clinical community to ensure deployment of systems; serves as liaison to project sponsors, project teams and stakeholders; works with internal, external groups to optimize success of project deployment.
  • Communicates with user departments and project teams on project activities; confers with project staff and vendors to provide support and resolve problems; collaborates with clinical, financial and quality teams to define and develop metric goals. Partners with management to develop tools and metrics to evaluate performance of target initiatives; assists with planning monitoring criteria and methodology.
  • Ensures availability of performance measurement data for review and analysis; evaluates and drives risk management process improvements, efficiencies and workflow enhancements.
  • Partners with management, identifies end user education, training program and services; assists in the development and maintains department policies and procedures.
  • Provides subject matter expert support in the development of clinical information systems and integration to improve the timely completion of projects.
  • Operates under general guidance and work assignments are varied and require interpretation and independent decisions on course of action.

Communication Management:

  • Draft and edit emails, letters, and reports as needed.
  • Prepare and distribute newsletters, memos and other internal announcements.
  • Liaison with external departments to ensure that departments and interested parties are aligned and kept apprised of activities.
  • Manage department shared inbox.
  • Act as a knowledgeable resource to help others understand intricate systems or workflows.
  • Guide Northwell stakeholders through complex procedures, including step-by-step assistance with navigating departmental policies, sponsor policies and research procedures.
  • Escalate unresolved problems, frequently asked questions, and identified barriers to leadership.
  • Maintain and update internal communication materials, including SharePoint content.

Meeting Preparation And Follow-up

  • Coordinate internal meetings on behalf of research stakeholders, ensuring appropriate timing and preparation.
  • Prepare agendas, materials, and presentations for meetings.
  • Take meeting minutes and ensure follow-up actions are tracked and completed in a timely manner.
  • Ensure stakeholders are well-prepared for all meetings, conferences, and events.

Project Execution Management

  • Assist with the development and documentation of project plans, including project scope, goals, and deliverables, under the guidance of leadership.
  • Coordinate with various departments to facilitate access to necessary resources, tools, or information required to complete research tasks.
  • Collaborate with process owners to implement changes that enhance user efficiency and experience.
  • Develop and maintain standard operating procedures.
  • Develop and maintain detailed templates, guides, and resources aimed to assist research stakeholders, ensuring documentation is up to date and accessible.
  • Gather feedback from stakeholders to identify areas for improvement.
  • Identify and resolve issues that arise within work processes.
  • Prepare reports for leadership on project progress toward milestones and deliverables.

Customer Service

  • Deliver high-quality service that prioritizes stakeholder satisfaction, ensuring interactions are positive and solution-oriented.
  • Build and maintain positive relationships with stakeholders by demonstrating reliability, professionalism, and empathy.
  • Other Administrative Support:
  • Perform general administrative duties as needed.
  • Assist in organizing company events and conferences.

  • A proactive problem-solver with strong critical thinking skills.
  • Research experience required

Job Qualification

  • Bachelor's Degree required, or equivalent combination of education and related experience.
  • 1-3 years of relevant experience, required.
