Position: Construction Project Administrator
Location: White Plains, NY Hybrid)
Employment Type: 12 Month Contract
Project Overview
The Waterway Infrastructure Program consists of a large collection of projects and programs designed to revitalize the Canals for the next century of operation, driving economic development and climate resilience throughout. The Project Admin will support the financial, contractual, budgetary, and governance procedures that NYPA relies on to deliver this work.
Job Functions & Responsibilities
- Prepare requests for new projects.
- Prepare project plans, risk registers, project justification memos, contractor award memos, purchase requisition worksheets, scopes of work, and other administrative documents under the direction of Project Engineers.
- Prepare purchase requisition worksheets and collect accounting information to support new contracts.
- Attend scheduling meetings; update project costs on Excel worksheets based on project schedule changes; update UOPP and verify budget consistency.
- Prepare award memos and change order memos to authorize additional contract funding as required.
- Track monthly invoices and prepare accruals where invoices are delayed.
- Review consultant monthly reports, meeting minutes, and agendas to verify completeness.
- Review project activities for technical content, accuracy, cost control, and scheduling.
Skills
- Strong project management skills with the ability to plan, execute, and complete multiple tasks from start to finish with minimal supervision.
- Strong knowledge of water resources engineering or construction experience desired.
- Excellent interpersonal skills; strong written and verbal communication with the ability to understand, organize, and convey technical engineering information clearly and effectively.
- Proficiency in MS Word, including cross-referencing, indexing, and related functions.
- Proficiency in MS Excel, including use of SUMIFS, COUNTIFS, Pivot Tables, and creating high-quality charts.
- Working knowledge of SAP, Oracle Primavera, and Microsoft Teams is preferred.
Education & Certifications
- College degree from an accredited institution in engineering or a related field.
- CCM, PE, PMP, or other professional certification preferred.
