Hospitality/Production Labor Assistant Job Description

Job Description

The Hospitality/Production Labor Assistant will be responsible for maintaining the Volt Lites level of service and assisting our People Operations Manager and Production Labor Manager with day-to-day administrative tasks. This position will maintain our common areas and greet visitors to our Burbank headquarters. The Hospitality/Production Labor Assistant will also be responsible for supporting the data entry and email communications as needed for our Production Labor Team.

Job Duties & Responsibilities

Hospitality Duties (Reporting to Manager, People Operations

• Greeting clients and visitors to Volt Lites
• Answer and direct main reception phone line
• Complete daily cleaning and prep tasks in multiple areas
• Retrieve and distribute mail daily from the company mailbox
• Responsible for inventory of food/drink items, janitorial, and administrative supplies
• Work with Purchasing Coordinator with all orders placed
• Replenish break areas for snacks/drinks on a daily basis and track Conference Room Calendar to make sure room is clean and ready for all meetings..
• Offer bottled water to guests
• Maintain clean & organized presentation of goods for all public facing stations
• Ensure water and food vendors deliver orders in a timely manner
• Schedule appointments for previz rooms when necessary
• Organize food/drink items for company celebrations (i.e. birthdays, work anniversaries, etc.)
• Maintain inventory of Volt apparel and speciality items, distribute as necessary
• Other duties as assigned

Crew Duties (Reporting to Production Labor Manager

• Creating events in Lasso and building out the labor/venue information from RentalWorks and Show Calendar
• Confirm dates in RentalWorks mirror dates in the Show Calendar
• Continuously update the Lasso suite with data as it changes
• Create Google Drive folders for each project in a timely manner
• Other duties as assigned

Qualifications

• Previous experience in an administrative role or office environment required
• 1+ year of customer service experience required
• Detail-oriented with strong organization skills
• High level of professionalism
• Basic computer skills (knowledge of Google Suite preferred)
• Strong communication skills, both written and verbal
• Willingness to learn and take guidance from others
• Ability to carry large heavy items unassisted (up to 25 lbs.)
• Ability to stand for long periods of time – up to 8 hours a day
• Ability to perform frequent bending, stooping, and lifting of objects
• Previous experience with RentalWorks, Lasso, or other planning software systems a plus

Compensation & Other Details:

• Pay: $20 - $22/hour
• Schedule: Monday to Friday
• Location: Burbank, CA
• Classification: Full-Time, Non-Exempt, 100% In-Person, At-will
• Parking: Provided, Lot located at office building
