Job Title: Guest Service Associate

Job Summary:

As a Guest Service Associate, you will be interacting directly with Owners, guests, and staff. In addition, your responsibilities include, but are not limited to, answering incoming calls effectively; actively listens and responds positively to members' and guests' questions, concerns, and requests and contacts other departments to help resolve issues. Greet all members and guest visiting the club, and providing accurate information about the resort.

Reports to: Senior Accountant

Supervisory Responsibilities: None

Duties/Responsibilities:

  • Operate front desk telephone switchboard station to answer telephone calls and receives, records, and relays messages accurately.

  • Prepares letters, memos, and other documents using word processing, spreadsheet, database, or presentation software.

  • Arranges and maintains member charge record in alphabetical or numerical membership order.

  • Maintains member information on Jonas.

  • Performs general office work such as word processing, filling and operating copy and fax machines.

  • Reports presence of unauthorized visitors in or around club facility.

  • Maintain member and guest records (including visits by guests and member charges)

  • Maintain correct balances in operating funds.

  • Update and maintain member mailing and telephone lists.

  • Process and submit short term applications.

  • Assist members with their statements, process member payments, and architecture packets.

  • Process work orders, transponders, maintain documentation, and enter details into database.

  • Upload documents to website.

  • Assist HOA manager with documents, file, letters, and mailing. Additional duties as needed.

Required Skills/Abilities:

  • Excellent customer service skills.

  • Excellent oral and written communications skills.

  • Ability to work multi-line telephone system.

  • Efficient in word processing, spreadsheet, and e-mail programs.

  • Must be able to type efficiently, handle multiple tasks concurrently while meeting deadlines, prioritizing tasks and providing excellent member and guest service.

Experience:

  • A minimum of two years in a resort, club or hospitality industry setting or equivalent office experience.

Physical Demands and Work Environment:

· Must be able to reach, bend, and lift up to 40 lbs.

· Must be able to sit for prolonged periods of time.

· Moderate noise levels in the work environment.

Job Type: Full-time

Pay: $ $24.50 per hour
