Job Title: Colonel Engagement Coordinator

Reports To: Director of Colonel Relations

Summary: Develops, coordinates, and manages the flawless execution of the Honorable Order of Kentucky Colonel events associated with its Colonels, Board, and partners. This person oversees the chapter program and the continued growth of the program. An ideal candidate is detail-oriented with the ability to juggle multiple projects, think on their feet and communicate effectively both internally and externally.

Essential Duties and Responsibilities:

· Coordinates, plans, and manages all events related to operations. Those events include grant appreciation events, dinner/dances, board meetings, sport related events, volunteer experiences, in and out of state travel events, etc.

· Coordinates, plans, and manages Kentucky Colonel vendor participation events. Examples include Kentucky State Fair booth and appropriate vendor fairs.

· Coordinates fundraisers and engagement opportunities.

· Works with the communications person to create social media posts for the activities related to above-mentioned events.

· Works with all event stakeholders from pre-event strategy, planning, and obtaining post-event feedback.

· Superb project management skills, initiative, and creativity.

· Manages all aspects of event budgeting and reporting.

· Develops annual budget for events with the coordination of the Senior Director of Colonel Relations.

· Produce revenue and expenditure results within that board approved budget.

· Identify and negotiate with appropriate on-site and off-site venues and vendors regarding all aspects of events.

· Negotiate contracts with final approval by the Senior Director of Colonel Relations.

· Oversee the chapter program providing support and development for chapter leaders while on-boarding new chapters around the world.

· Conducts data research on Colonels.

· Effectively secures sponsorships, if appropriate.

· Works with the Colonel Relations Coordinator for the event list management, RSVP tracking and reporting, and works with the third-party marketing/PR vendor to create event invitations and communications tactics.

· Ability to work with limited supervision in a collaborative environment.

· Ability to meet deadlines.

· Assists in the development of short and long-range organizational plans.

· Assists team members with volunteer activities and other organizational activities, if needed.

· Participants in Board committee meetings as needed.

· Assists with opening mail, processing donations, or depositing donations as needed.

· Answers phones.

· All other duties as assigned.

Supervisory Responsibilities:

· Outside vendors for events on-site and off-site.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: Degree in business, communication, or marketing field preferred but not required. Five (5) or more years of experience in the event field. Experience in a professional service office environment.

Communication Skills: Excellent writing skills. Must be able to interact with various personalities and communication styles at all levels. Ability to speak effectively before groups.

Mathematical Skills: Ability to calculate figures and amounts such as discounts and percentages.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written or oral. Ability to deal with problems in an efficient way.

Computer Skills: To perform this job successfully, an individual should have extensive knowledge of word processing, spreadsheet programs, and the CRM software.

Certificates, Licenses, Registrations: Must have a valid driver's license.

Work hours: Scheduled weekly hours are 40 hours per week but expect to work longer hours on event/meeting days and some weekends.

Travel: Max travel in and out of the state is required, 20% of the time.

Salary Range: $40,000 - $60,000 per year, commensurate with education and experience.
