Job Title: Med Spa Office Manager / Scheduler / Front Desk Coordinator

At Model Citizen Medspa, we provide a premier experience in aesthetic medicine, focusing on wellness, rejuvenation, and confidence. Our team of licensed professionals delivers advanced medical spa treatments in a relaxing, client-centered environment. We are seeking a polished, detail-oriented Office Manager / Scheduler / Front Desk Coordinator to lead daily operations and ensure seamless client experiences.

Key Responsibilities:

Front Desk & Client Relations

  • Greet and check in clients with professionalism and warmth
  • Answer phones, respond to inquiries, and schedule appointments
  • Manage online booking systems and confirm upcoming appointments
  • Handle client intake forms, consent documentation, and payment processing
  • Maintain a clean, organized, and inviting front office area
  • Promote services, products, and memberships with confidence and product knowledge

Scheduling & Coordination

  • Coordinate provider schedules to optimize efficiency and client satisfaction
  • Confirm appointments and manage cancellations or reschedules
  • Communicate effectively between clients and clinical staff to ensure smooth service flow
  • Track and manage daily appointment logs and treatment room assignments

Office Management & Administration

  • Oversee day-to-day spa operations and front desk staff (if applicable)
  • Maintain supply inventory, place orders, and ensure treatment rooms are stocked
  • Support compliance with health, safety, and confidentiality standards
  • Monitor cash handling, daily sales reports, and point-of-sale systems
  • Assist with marketing initiatives, client follow-ups, and social media coordination
  • Prepare administrative reports for management review as needed

Qualifications:

  • 2+ years of experience in a medical spa, dermatology, cosmetic, or wellness office preferred
  • Strong understanding of aesthetic treatments, skincare, and beauty services a plus
  • Excellent communication, customer service, and multitasking skills
  • Proficiency with EMR / scheduling software (e.g., Aesthetic Record, Vagaro, Zenoti, or similar)
  • Detail-oriented, professional appearance, and reliable work ethic
  • Ability to manage sensitive client information with discretion
