Job Description

The Marketing Operations Specialist plays a pivotal role in supporting and enhancing the Marketing & Corporate Communications team by streamlining processes, implementing technology solutions, and enabling cross-functional collaboration. This position is essential for coordinating diverse workgroups to address business challenges, articulate value, and identify success indicators, all while managing administrative responsibilities across multiple systems. The Marketing Operations Specialist ensures seamless operations and provides flexible support that empowers the broader team to achieve strategic objectives efficiently and effectively. 

The ideal candidate is a highly organized and adaptable professional with a demonstrated ability to translate complex problems into clear, actionable solutions. Exceptional communication skills, technical aptitude, and a collaborative mindset are crucial, along with the ability to manage multiple priorities and drive alignment among stakeholders. Qualifications

Required:

  • Bachelor's degree in related field or direct and equivalent experience.
  • 3+ years of experience in marketing and MarTech, systems administration, or related experience.
  • Experience working in a complex, regulated industry.
  • Ability to translate complex problems into simple problem statements.
  • Experience in workflow management or process development of business applications or systems. Ability to apply an understanding of agile methodology and utilize agile principles to benefit the organization.
  • Strong critical thinking and problem-solving skills. Ability to analyze information and evaluate complex workflows, data, and systems. Strong attention to detail.
  • Ability to identify issues or inconsistencies; obtains relevant information, relates and compares data from different sources and identifies alternative solutions.
  • Skilled in agile processes and principles, including documentation of features, user stories, and acceptance criteria. Familiar with principles of product development flow. Demonstrated ability to communicate how requirements and user stories align to business strategy. 
  • Familiarity with regulatory standards, accreditation standards, or guidelines including interpretation of technical specifications for data file and system upgrades
  • Excellent verbal and written communication skills, to both technical and non-technical audiences; can translate concepts clearly and concisely to individuals and groups.
  • Ability to collaborate with internal and external stakeholders/vendors, demonstrated through successful building of rapport, trust and established relationships.
  • Ability to partner with different business and technical areas of the company.
  • Proactive, self-starter with effective time management skills.
  • Results oriented and successful at managing changing, conflicting/multiple priorities.

Preferred:

  • Experience working in a product management and agile operating model, fostering an agile mindset, and contributing to product optimizations and outcomes.
  • Experience working in a health insurance or healthcare-related marketing environment or other highly regulated industries.
Additional Information

a. Facilitate collaboration across teams to define and document business problems, business value, and success metrics aligned with strategic objectives; assist in the creation and refinement of business cases and roadmaps.

c. Facilitate collaboration with key stakeholders including the core system or process users, business partners, technology, architecture, data teams, legal and compliance. 

d. Ensure follows ups and action items are completed on time. 

e. Track leading indicators and performance metrics for assigned scope. 

f. Maintain details and status in project management tools, objectives and key results (OKRs) reports.  

g. Reconcile financial reports and invoices and communicate regularly to stakeholders. 

h. Develop key communication updates to stakeholders to ensure continued alignment. 

i. Support and implement change management initiatives to drive successful adoption and utilization.  

j. Support onboarding, training, and documentation for the department. 

k. Assist with process documentation, reporting, and workflow optimization. 

l. Provide day-to-day marketing operations support to the department on a variety of tasks and initiatives. 

m. Help coordinate logistics for department workshops and cross-functional initiatives. 

n. Other duties as assigned.
