We are seeking a dedicated and organized Dental Office Receptionist to join our healthcare team. The ideal candidate will serve as the first point of contact for patients, managing front desk operations with professionalism and efficiency. This role requires excellent communication skills, familiarity with dental and medical terminology, and experience in medical office management systems. The Dental Office Receptionist will ensure smooth patient flow, accurate documentation, and effective coordination between patients and clinical staff to support high-quality dental care delivery.

Duties

  • Greet patients warmly and professionally upon arrival, ensuring a positive patient experience.
  • Schedule appointments using dental practice management software such as Eaglesoft or Dentrix.
  • Verify patient insurance coverage and perform insurance verification procedures.
  • Manage multi-line phone systems, handle patient inquiries, and provide exceptional customer service.
  • Collect payments, process billing, and perform medical collections when necessary.
  • Maintain accurate patient records within EMR/EHR systems like Epic, Meditech, Athenahealth, or eClinicalWorks.
  • Review documentation for completeness and accuracy, including intake forms and medical histories.
  • Assist with medical coding tasks such as CPT, ICD-9, ICD-10 coding, ensuring compliance with HIPAA regulations.
  • Prepare and manage clinic documentation, including care plans and medical records filing.
  • Support administrative tasks such as data entry, typing (including 10 key typing), filing, and general clerical duties using Microsoft Office tools.
  • Ensure compliance with HIPAA standards for patient privacy and confidentiality.
  • Coordinate with clinical staff regarding patient flow and scheduling to optimize clinic operations.

Experience

  • Prior experience in a dental or medical office setting is highly preferred; dental clinic experience is a plus.
  • Proficiency with dental practice management software such as Eaglesoft or Dentrix is desirable; familiarity with EMR/EHR systems like Epic or Meditech is beneficial.
  • Strong knowledge of dental terminology, medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and health information management practices.
  • Experience with insurance verification processes and medical billing procedures.
  • Excellent computer skills including Microsoft Office Suite (Word, Excel) and multi-line phone system operation.
  • Demonstrated ability to provide exceptional patient service with professional phone etiquette and clerical support skills.
  • Bilingual abilities are advantageous to serve diverse patient populations effectively.
  • Previous office management or administrative support experience in healthcare settings is preferred.
