Salary Range: Up to $60,000 - $70,000 annualized, commensurate with education, experience, and qualifications.

Job Type: Full Time

Job Summary

The Assistant Registrar will provide administrative and supervisory skills in the management of a specific service area within the Registrar's Office. Serves as a resource for the campus, meets the mission of the University and supports the need of a student-centered philosophy. This role will be responsible for overseeing the daily operation of an assigned area within the Registrar's Office.

Core Responsibilities

- Supervises staff that perform the assigned function. Responsible for assigning staff to projects, participating in recruitment and hiring processes, supporting staff development, and completing performance management and evaluation.
- Maintains data integrity for the functional area and prepares reports and information as needed.
- Assists administrators, students, faculty, and staff with special requests and problems of a complex nature. Offers solutions to management regarding student issues with appropriate staff in various offices.
- Works with Associate Registrar to develop and implement new policies/procedures for the assigned area. Coordinates with Information Technology staff on updates needed to technical systems that support registrar functions.
- Participates in the testing of student record system improvements and upgrades in support of work done in the assigned area.
- Trains faculty and staff from offices throughout the campus on the correct policies, processes, and systems used in the assigned area. Prepares training materials and documentation.
- Oversees the development, accuracy, and publication of the academic catalog.
- Collaborates with academic departments and other campus staff to review curriculum and ensure academic program compliance with institutional, state, and accreditation requirements.
- Manages curriculum processes and systems to include, reviewing proposals for completeness and policy alignment, supporting units through the workflow process, and implementing approved changes across the catalog management and student information systems.
- Prepares written reports for the Registrar.
- Oversees special projects.
- Performs other duties as assigned.

Required Qualifications

- Bachelor's degree from an accredited institution.
- Four years of experience within a Registrar's Office, Admissions or similar higher education unit.
- Excellent verbal and written communication skills.
- Ability to establish rapport with all faculty, staff, and students, and the ability to exercise independent judgment, discretion, and flexibility.
- This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.

Preferred Qualifications

- Master's degree from an accredited institution.
- Experience managing or supervising a unit within a Registrar's Office, Admissions, or similar higher education unit.
- Ability to implement technological advancements.
- Experience using Banner student record system.
- Knowledge and experience related to catalog and curriculum management, including related software systems (e.g., CourseLeaf CAT & CIM)

Knowledge, Skills, and Abilities

- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Demonstrated independent decision-making and problem-solving ability.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite.

Working Conditions

- Office environment.
- Ability to travel to and from meetings, training sessions or other business-related events.
- Occasional after hours and weekend work or overtime may be required
- Work performed on multiple projects concurrently under pressure of rigid deadlines.

Physical Demands

- Sedentary work; sitting most of the time. Jobs are sedentary, if walking and standing are required, only occasionally.
- Exerts up to 10 lbs. of force occasional.

This position will work both on campus and remotely in Texas. Travel and parking expenses are the employee's responsibility.

This position is contingent upon a successful background check. Verification of a valid driver's license and Motor Vehicle Record (MVR) may be completed as applicable. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire.
