Job Description Summary:

Under the supervision of the Central Stores West Manager or Director of Central & Surgical Services, the position requires one eight hour shift, five days a week. Makes recommendations for all aspects of the forms and office supplies, being involved in negotiations concerning quality, price, and service. Monitors pricing on all purchases to insure contract agreement and budget compliance. Develops and receives quotations, negotiates and assesses for approval on contracts where applicable for the above contracts and were requested by the Director. Demonstrates knowledge of product evaluations, cost, and inventory control of forms, office supplies, and possesses the ability to assess data reflective of department usage relative to their needs. Ability to supervise all clerical positions of office staff and fully understand and efficiently perform these jobs. Employee is subject to call back as required by the hospital.

ESSENTIAL JOB FUNCTIONS:

  • Coordination of purchasing activities for, but not limited to, the contracts and supplies of the Central Stores West.
  • Identifies problems/issues, conducts investigations and takes corrective action, this includes pricing issues, related to Central Stores West.
  • Monitors, implements, and directs the authorizing of purchase requisitions prior to purchase, checks department requisition on received items for correct, accounting data when directed by the Director.
  • Responsible for planning, organizing, developing, coordination, and assisting the Director of Surgical Services in managing the operation of the clerical staff.
  • Participates in developing and maintaining department annual budget and monitoring expenditures, not limited to the contracts listed in Job Summary.
  • Manages all aspects of the clerical positions in Central Stores West.
  • Must also possess the ability for fully perform these job duties.
  • Perform all tasks required by the Central Stores West Manager or Director of Central & Surgical Services.
  • Provides back up support for other positions in Central Stores West including, but not limited to Inventory Control Coordinator, Charge System Analyst, and Distribution Specialist.
  • Provide back up and assist Inventory Control Coordinators where needed.
  • Performs related responsibilities as required or directed.

JOB SPECIFICATIONS:

EDUCATION:

  • Language and logical skills in the technical field of computer software and equipment, in addition to secretarial skills, as normally acquired through 2 years of college or technical training, or equivalent experience as acquired through 4 years in the Materials Management purchasing field.

LICENSURE, REGISTRATION, CERTIFICATION:

  • Must obtain a certification as a Certified Purchasing Professional (CPP) within 18 months of accepting position or have 3 years' experience in supply chain.

EXPERIENCE:

  • Knowledge of purchasing processes acquired through 4 years of experience in hospital Materials Management environment.
