Dental - Front Desk coordinator & receptionist

Position Summary
The Front Desk Coordinator is the first point of contact for our patients and plays a vital role in ensuring an exceptional patient experience. This position manages the daily flow of the front office, from scheduling and patient check-in/out to insurance coordination and administrative support. The ideal candidate is organized, friendly, detail-oriented, and able to balance a high volume of patient interactions with professionalism and care.
Key ResponsibilitiesPatient Experience & Communication
- Welcome patients warmly and ensure they feel comfortable and informed throughout their visit.
- Answer phone calls, emails, and texts promptly with professionalism and empathy.
- Manage patient check-in and check-out processes efficiently.
- Confirm, reschedule, and follow up on appointments to maintain optimal scheduling.
Scheduling & Coordination
- Maintain the daily and weekly provider schedules to ensure maximum productivity.
- Coordinate with clinical staff to manage chair flow and minimize downtime.
- Follow up on unscheduled treatment and recall appointments.
Insurance & Financial Administration
- Verify patient insurance eligibility and benefits prior to appointments.
- Accurately enter and update patient insurance information in the system.
- Collect co-pays and balances, process payments, and maintain accurate records.
- Communicate treatment plan costs and payment options to patients clearly and confidently.
Administrative & Compliance
- Maintain accurate and up-to-date patient records and documentation.
- Follow HIPAA guidelines for patient confidentiality.
- Assist with daily end-of-day reconciliation and reporting.
- Support office communication, supply orders, and coordination with vendors as needed.
Desired Qualifications
- Minimum 2 years of dental front office experience (mandatory).
- Proficiency with Dentrix or similar dental management software (mandatory).
- Ability and willingness to assist in the back office (e.g., seating patients, sterilization, setup/cleanup) when another staff member is away.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Comfort with technology, digital forms, and online scheduling systems.
- Positive attitude, professionalism, and a patient-centered approach.
