Our client, a highly confidential global investment firm, is seeking a Recruiting Operations Coordinator to join its growing talent acquisition team in either the Miami or New York office. This role offers meaningful exposure to a fast-paced, professional environment and provides a clear path for growth, either within recruiting or operations.

About the Role

The Recruiting Operations Coordinator plays a vital role in supporting the full lifecycle recruiting process across the organization. This individual will serve as the main point of contact for scheduling, candidate coordination, and Workday recruiting administration, ensuring a seamless experience for both candidates and hiring teams. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced, high-touch environment.

Responsibilities

  • Administer all recruiting workflows in Workday, including job requisition creation, candidate entry, interview scheduling, feedback collection, and offer processing
  • Maintain accuracy and data integrity across job requisitions and recruiting reports
  • Troubleshoot system issues and coordinate with Workday support or IT as needed
  • Coordinate interviews across multiple time zones, managing Outlook calendar invitations
  • Arrange candidate travel, including flights, accommodations, and reimbursements
  • Support recruiting events, high-volume initiatives, and special projects as required
  • Partner with recruiters and hiring managers to ensure a smooth interview and onboarding process
  • Identify opportunities for process improvement and operational efficiency within recruiting systems

Requirements

  • Bachelor's degree or equivalent experience
  • 1–3 years of experience in corporate administration, HR operations, or recruiting support
  • Hands-on experience with Workday or another applicant tracking system strongly preferred
  • Excellent communication and organizational skills with the ability to manage multiple priorities
  • Proficiency in Microsoft Outlook; familiarity with Excel and PowerPoint
  • High attention to detail, discretion, and professionalism in handling confidential information
