Senior Talent Acquisition Operations Specialist

The Senior Talent Acquisition Specialist (STAS) provides operational and administrative support within the Talent Acquisition (TA) function and works in close partnership with assigned Senior Sales Executives. The position also ensures the smooth execution of all TA operations, including managing the Applicant Tracking System (ATS), generating reports, maintaining compliance, and supporting strategic coordination between sales and recruiting teams.
This is primarily an operations, systems, and coordination role within the Talent Acquisition function. The STAS has the ability to recruit on an as-needed basis but recruiting is not a primary responsibility of this position. Key Responsibilities
Operational Support & Coordination
- Partner with assigned Senior Sales Executives to provide administrative and operational support for client requisitions, ensuring accuracy and timeliness of all submissions and documentation.
- Track requisition flow and placement metrics; maintain alignment between Sales and TA teams.
- Support consultant care activities, ensuring smooth onboarding, compliance, and communication with placed consultants.
- Facilitate coordination between Sales Executives, Recruiters, HR, and other internal stakeholders to ensure seamless fulfillment of client needs.
- Serve as an escalation point for resolving administrative or procedural issues within the TA process.
- Serve as the backup to assigned Senior Sales Executive(s) in supporting client and partner needs to ensure continuity of communication and service delivery.
- Interface directly with clients and partners to coordinate activities related to staffing requests, candidate interviews, and ongoing engagement updates.
- Manage and monitor recruiting portals and VMS systems, ensuring accurate submission of candidates, compliance with client requirements, and timely response to requests.
- Facilitate client feedback loops by collecting and relaying candidate and interview feedback to the appropriate internal stakeholders.
- Provide operational support for client communications, documentation, and fulfillment activities when the Sales Executive is unavailable or requires additional assistance.
- Assist in maintaining client satisfaction by ensuring all service requests, escalations, and follow-ups are addressed promptly and professionally.
- Serve as the administrator and primary point of contact for the Applicant Tracking System (ATS).
- Configure, manage, and maintain system workflows, permissions, and user profiles.
- Ensure all data entries, candidate information, and requisition records are accurate and complete.
- Develop, produce, and distribute regular TA performance and activity reports, including pipeline analytics, time-to-fill metrics, and placement trends.
- Identify opportunities for system and process improvement, automation, and enhanced reporting accuracy.
- Ensure all TA activities and documentation meet internal standards and client compliance requirements.
- Maintain awareness of client-specific contractual obligations, including documentation, candidate ownership, and sub-vendor participation rules.
- Support company adherence to EEO, privacy, and data protection standards.
- Coordinate with leadership to maintain updated procedures and consistent practices across the TA team.
- Collaborate with Senior Sales Executives to ensure account alignment and operational support for shared goals.
- Participate in client and partner introductions to clarify roles and ensure continuity of communication.
- Work closely with the Talent Acquisition Director to implement strategic initiatives that increase operational efficiency and placement performance.
- Assist with training and mentorship of Talent Acquisition Specialists or junior staff as directed.
- Serve as a primary point of contact for assigned consultants to ensure consistent communication and support throughout their engagement.
- Conduct regular check-ins with active consultants to monitor satisfaction, address issues, and identify potential retention risks.
- Coordinate with Sales, TA leadership, Fiscal, and HR to resolve consultant concerns related to assignments, timesheets, billing, or client feedback.
- Work closely with HR to facilitate onboarding and offboarding processes, ensuring consultants receive all necessary documentation, system access, and orientation materials.
- Track assignment end dates and extensions, proactively communicating upcoming changes to both consultants and account teams.
- Leverage consultant relationships to identify potential new opportunities, referrals, or account expansion leads.
- Maintain accurate consultant records within the ATS and/or ERP to ensure visibility across TA and Sales operations.
- Perform limited recruiting functions when operationally necessary or requested by the Talent Acquisition Director.
- Maintain readiness to support urgent or specialized client needs through direct candidate sourcing or screening.
- Recruiting is a secondary and discretionary responsibility of this position.
Education & Experience:
- Bachelor's degree in Business Administration, Human Resources, or a related field (preferred).
- 2+ years of experience in business development, sales, talent acquisition operations, recruiting administration, or HR systems management.
- Demonstrated experience administering an ATS or similar type of systems (e.g., JazzHR, Bullhorn, or equivalent).
- Experience in IT staffing or professional services preferred.
- Strong organizational, analytical, and problem-solving skills.
- Proficiency in managing and interpreting recruiting data and metrics.
- Excellent written and verbal communication skills.
- Proven ability to work collaboratively in cross-functional environments.
- Attention to detail and high degree of accuracy in systems and documentation.
- Advanced proficiency with Microsoft Excel, PowerPoint, and data visualization tools.
- Ensure accurate and timely ATS data entry, reporting, and maintenance.
- Maintain seamless coordination between Sales and TA operations.
- Produce high-quality reports and operational insights that inform management decisions.
- Support company goals to increase monthly placements and improve operational efficiency through enhanced processes and collaboration.
