Overview
The Estimator Coordinator plays a vital role in supporting the estimating team by managing project details, coordinating communication with clients and vendors, and ensuring that all necessary information is accurately processed. This position requires a detail-oriented individual with strong organizational skills and a deep understanding of construction project workflows. The Estimator Coordinator will be responsible for maintaining efficient project timelines, ensuring the accuracy of estimates, and providing exceptional support to both internal teams and clients.
Duties
- Serve as the primary point of contact for clients, addressing inquiries, providing updates on project status, and ensuring excellent customer service.
- Coordinate the collection, organization, and review of project documentation, such as plans, specifications, and bid documents, ensuring all information is complete and easily accessible for the estimating team.
- Assist estimators in preparing detailed cost estimates by gathering necessary project data, entering it into estimating software, and verifying accuracy of the information.
- Maintain accurate records of client interactions, project progress, and estimates using computerized systems.
- Facilitate clear communication between clients, subcontractors, suppliers, and internal teams to ensure alignment on project requirements, timelines, and costs.
- Support scheduling and coordination of site visits, meetings, and calls related to estimates and projects.
- Prepare and maintain reports, including estimates, bid summaries, and project timelines, ensuring they align with the estimating team's workflow.
- Utilize QuickBooks or other project management software to track project-related expenses, including estimates, material costs, and subcontractor bids.
- Ensure compliance with company policies, procedures, and industry standards throughout the estimating process and project coordination.
Skills
- Strong customer service skills, with the ability to handle client inquiries and maintain positive relationships throughout the estimating and project stages.
- Bilingual abilities are a plus, improving communication with a diverse range of clients and vendors.
- Previous experience in the construction industry, with an understanding of estimating procedures, is highly desirable.
- Proficiency in construction estimating software and computerized systems for data entry, tracking, and reporting, such as Google Suite and QuickBooks.
- Strong organizational skills with experience managing multiple tasks and projects simultaneously.
- Excellent administrative and office management skills, including scheduling, meeting coordination, and maintaining a well-organized filing system.
- Knowledge of construction industry terminology, processes, and materials is a plus.
