Fine Jewelry Office Manager

About the Role

We're seeking an experienced Office Manager to oversee the day-to-day operations of our New York office. This is an in-person, hands-on role working closely with our founder and team to ensure operations run seamlessly and efficiently.

The ideal candidate has prior experience managing an office within a fine jewelry brand /manufacturing environment and thrives in a multifaceted role. Responsibilities span everything from ordering supplies and managing packaging inventory to tracking production orders, overseeing daily workflow, maintaining accurate records in QuickBooks or similar, and ensuring all invoices are processed and paid on time.

What You'll Do:

· Serve as the office manager for AARYAH, overseeing all daily administrative and operational needs

· Manage incoming and outgoing invoices, ensuring accuracy and timely processing in QuickBooks

· Oversee and organize all administrative tasks, including maintaining office supplies and ensuring packaging materials are fully stocked and organized

· Oversee day-to-day incoming orders from retail partners and clients

· Liaise with domestic and overseas factories to place, track, and manage production and shipments

· Maintain quality control standards on all finished products

· Document jobs from start to finish, including casting, stone sourcing, setting, polishing, and engraving

· Maintain and manage precise production and invoicing records in QuickBooks

· Oversee inventory management — track raw materials, castings, and finished goods, and ensure secure handling of high-value items

· Perform general office management duties including filing, data entry, and document organization

· Manage office logistics — ordering supplies, coordinating shipments, handling packages, and maintaining vendor relationships

· Provide professional communication and customer support via phone and email

· Assist in onboarding new employees, coordinating training schedules, and maintaining team documentation

· Collaborate with team members to streamline processes and improve overall office efficiency

What We're Looking For:

· Proven experience as an Office Manager or in a similar administrative or production role within the wholesale fine jewelry industry

· Previous experience in fine jewelry production, operations, or manufacturing management

· Strong knowledge of jewelry manufacturing processes and terminology

· Proficiency in QuickBooks and comfort working with inventory management systems

· Strong computer literacy and familiarity with productivity tools (Docs, Sheets, Calendar)

· Excellent organizational, multitasking, and prioritization skills with strong follow-through

· Detail-oriented with strong data-entry and record-keeping abilities

· Exceptional written and verbal communication skills

· Proactive, reliable, and comfortable working both independently and collaboratively within a small, fast-growing team

Experience:

• fine jewelry/ diamond/ jewelry manufacturing industry
• billing/invoicing/ order entry
• QuickBooks/ Diamond Track or Similar (inventory management + invoicing)

Compensation & Schedule

· Full Time (Monday – Friday 9:30am – 6pm)

· Pay: $60,000

· Benefits: Health insurance, Paid Time off
