Job Overview
The Project Manager will support new business opportunities by identifying bid opportunities, compiling detailed estimates, and managing permanent installation/sales projects from concept through completion. These installations may include theatrical lighting fixtures, rigging systems, audio, projection, dimming and control systems (as one of the largest ETC dealers in the region), drapery, and other components specified within RFPs. This role is suited for an individual with a strong aptitude for learning who demonstrates confidence, professionalism, and leadership. The position requires effective management of project timelines, thorough review of construction specifications to define scope of work, collaboration with technical staff to prepare proposals, coordination of equipment procurement, oversight of delivery and installation/sales, and a commitment to ensuring client satisfaction for both contractors and end users. The Project Manager is also responsible for project financial oversight, including certified payroll coordination, billing, deposit collection, and post-project cost and profitability analysis. Success in this role is measured by clear communication, well-executed installations, satisfied clients, and continuous improvement in project efficiency and outcomes. Working closely with Designers, Engineers, Owners, and fellow Managers, the role is instrumental for improving internal processes, contributing to strategic planning, and supporting company efforts on the most impactful and profitable areas of the business. This position offers the opportunity to influence how projects are delivered while building long-term client relationships and advancing professionally within a collaborative, experienced team.
Duties
Project Discovery & Estimating:
• Discover, review, and qualify potential bids and RFPs
• Review bid documents and construction specifications to define project scope
• Partner with technical staff to compile accurate estimates and proposals
Client & Vendor Relations:
• Build and maintain strong relationships with clients and vendors
• Ensure on-time delivery of quotes, equipment, and installations through clear, proactive communication
Project Planning & Execution:
• Develop and manage project schedules, critical decision dates, and deliverables
• Order, track, and manage product delivery and installation to meet deadlines and budget goals
• Attend pre-installation site visits to verify project requirements and scope
• Oversee on-site labor scheduling, installation progress, and quality assurance
• Exercise stop-work authority for scope changes until written and approved change orders are in place
• Field presence is required (travel and site time)
Team Collaboration & Leadership:
• Work closely with Systems Designers, Engineers, and team members to ensure quality and continuous improvement
• Participate in weekly management meetings to align resources and expectations
• Support colleagues and foster a team-oriented environment built on mutual respect
Financial & Administrative Oversight:
• Compile on-site hours and coordinate with Finance for certified payroll reporting
• Oversee and communicate project progress to Finance Manager for proper invoicing and deposit collection, including change orders
• Track and analyze post-project costs and profitability
• Ensure timely preparation and maintenance of project records and reporting
Qualifications & Attributes:
• Proven experience managing installation projects in related industries (theatrical, House of Worship, audio/visual, lighting, or construction).
• Strong ability to interpret construction documents and bid specifications.
• Familiarity with project scheduling methodologies and construction site operations.
• Excellent communication and time management skills with the ability to prioritize multiple projects simultaneously.
• Financial acumen, including billing, payroll coordination, and cost analysis
• Excellent communication and relationship-building skills with clients, vendors, and team members.
• Collaborative, proactive, and results-driven approach.
• Ability to read blueprints, schematics, and technical drawings accurately.
• Demonstrated leadership capabilities in managing diverse teams and subcontractors on-site.
