Job Summary

We are seeking a dedicated and detail-oriented Office Representative to join our team. This role is essential for ensuring smooth office operations and providing exceptional customer service. Responsibilities

  • Manage front desk operations, including greeting visitors and answering inquiries
  • Handle multi-line phone systems with professionalism and courtesy
  • Provide excellent customer support through effective communication
  • Maintain accurate filing systems and perform data entry tasks
  • Assist with calendar management and scheduling appointments
  • Utilize QuickBooks for bookkeeping and financial tracking
  • Support office management tasks, including inventory control and supply ordering
  • Proofread documents for accuracy and clarity
  • Collaborate with team members to ensure efficient office workflow
  • Perform clerical duties such as typing, organizing files, and managing correspondence
  • Take payments

Skills

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Strong computer literacy with the ability to learn new software quickly
  • Excellent organizational skills with a keen attention to detail
  • Effective time management skills to prioritize tasks efficiently
  • Knowledge of phone etiquette and customer service best practices
  • Experience as a dental receptionist or medical receptionist is a plus
  • Familiarity with bookkeeping principles is desirable
  • Previous experience as a personal assistant or in an administrative role preferred
  • Bilingual abilities are are required
