About Mutternity Project
Mutternity Project is a nonprofit dog rescue dedicated to saving and supporting mother dogs and their puppies from high-risk shelters across Southern California. We believe in second chances, compassion, and creating lasting change through community, storytelling, and love.
As our programs continue to grow, we're looking for a
Foster & Adoption Team Coordinator
to help streamline our operations, strengthen our volunteer network, and ensure every mama and pup in our care receives the best possible start to their new life.
Position Overview
The
Foster & Adoption Team Coordinator
will oversee our team of Foster and Adoption Coordinator volunteers, ensuring our programs run smoothly, efficiently, and with heart. Their primary goal is to
strengthen and continuously improve our foster and adoption programs
— creating more streamlined systems, enhancing foster retention, and maintaining the integrity of our data and storytelling. This role is central to increasing the overall impact and sustainability of our rescue.
You'll work closely with leadership to build stronger workflows, create meaningful foster experiences, and keep our teams aligned and supported.
Key Responsibilities
Program Oversight
- Supervise and support all Foster and Adoption Coordinators to ensure maximum efficiency and organization
- Assign daily workloads, track progress, and ensure dashboards are up to date
- Coordinate on-site involvement for events and assign roles across teams
- Manage vet appointments, ensuring vaccines and procedures are completed on schedule
- Conduct foster check-ins (via coordinators, not directly) to ensure timely updates and support
Operational Systems & Data Integrity
- Maintain and monitor Notion dashboards, including:
- Supply Tracker
- Adoptable Dogs Database
- Engagement and data tracking
- Ensure all adoption and foster-related data (applications, fees, records, etc.) are accurate and organized in Dach (our CRM platform)
- Distribute and manage coordinator tickets, ensuring timely follow-up and delegation
- Support new coordinator onboarding and training on systems, tools, and workflows
- Collaborate with the Growth Team to continue developing operational efficiency
Story Development & Retention
- Identify and develop adoption success stories and foster testimonials for social media and donor campaigns
- Help create a structured mentorship program to onboard and support new fosters, improving retention and satisfaction
Ideal Traits & Experience
- Proven experience in leadership or team coordination
- Strong communication and organizational skills
- Background in CSR, volunteer coordination, or operations
- Experience with CRMs or project management tools (Notion, Airtable, etc.)
- Proactive problem-solving and systems-oriented mindset
- Passion for animal welfare and rescue work
Why Join Us
At Mutternity Project, you'll be part of a compassionate, fast-growing rescue making a tangible difference in the lives of mothers and their puppies. You'll have the opportunity to shape the foundation of our foster and adoption systems, collaborate with passionate volunteers, and contribute to a mission driven by love and purpose.
