Commercial Construction office Experience required. Join our dynamic team as a Front Desk Admin, for a Commercial construction company where you will be the welcoming face of our organization In this role, you will manage the front desk operations, ensuring a smooth and efficient experience for all visitors and staff. You will be the first impression of our company.

What you'll do

  • Greet and assist visitors with a warm and friendly demeanor, providing them with necessary information and directions.
  • Manage incoming calls using multi-line phone systems, ensuring excellent phone etiquette while directing inquiries to the appropriate departments.
  • Maintain an organized front desk area, including filing documents, managing calendars, and handling data entry tasks efficiently.
  • Support the office manager and owner by utilizing Microsoft Office and Microsoft Outlook for document preparation, proofreading, and correspondence.
  • Assist in scheduling appointments and managing calendars for team members to optimize time management across the office.
  • Provide exceptional customer support by addressing client and subcontractors needs promptly and effectively, enhancing their overall experience with our organization.
  • You will be in charge of making sure all supplies are stocked.
  • Keeping the client, office and sub contractor list updated.
  • Managing due dates on vendors invoices
  • Company mail

Basic qualifications

  • Proven experience in a front desk or receptionist role with strong clerical skills.
  • Proficient computer skills including proficient with Microsoft Office especially Excel. Formulas a plus.
  • Excellent organizational skills with a keen attention to detail in managing multiple tasks simultaneously.

Preferred qualifications

  • Previous experience with Commercial Construction.
  • Familiarity with calendar management tools and personal assistant responsibilities is highly desirable.
  • Bilingual is a plus.
  • Able to handle strong personalities (thick skinned)
  • Know formulas in excel.
  • Able to become a Notary.
