Job Description
We are seeking a highly organized and proactive Property Manager to oversee the day-to-day operations and maintenance of our diverse portfolio of apartment complexes and single-family homes in Northern Alabama. The ideal candidate will be a skilled communicator with a strong understanding of property management principles, excellent problem-solving abilities, and a commitment to providing exceptional resident experiences. This role requires a self-starter who can manage multiple priorities effectively and ensure the smooth and efficient operation of all assigned properties.
Responsibilities
Job duties include, but are not limited to, the essential functions listed below.
Tenant and Client Relations:
- Serve as the primary point of contact for residents, addressing inquiries, concerns, and maintenance requests promptly and professionally.
- Develop and maintain positive relationships with residents, fostering a strong sense of community.
- Enforce lease agreements, property rules, and regulations consistently and fairly.
- Handle resident complaints and disputes effectively and escalate issues to upper management as necessary.
- Coordinate and facilitate resident events and communications.
Leasing:
- Prepare and execute lease agreements, renewals, amendments, etc.
- Terminating leases and bringing eviction proceedings against tenants.
Financial and Reporting:
- Collect rent and other fees in a timely and accurate manner, following established procedures.
- Manage accounts receivable and pursue delinquent accounts as necessary and bad debt collections
- Enter invoices for approval
- Run monthly and quarterly reports as needed
- Work with company management and owners to meet operational goals.
Compliance and Legal:
- Ensure all property operations comply with local, state, and federal laws and regulations, including fair housing laws.
- Maintain accurate and up-to-date property records, leases, and other documentation.
- Stay informed about changes in property management laws and best practices.
- Handle legal notices and eviction processes as necessary, in consultation with legal counsel.
Administrative Tasks:
- Maintain organized filing systems, both electronic and physical.
- Prepare and distribute property-related communications.
- Respond to emails and phone calls in a timely and professional manner.
- Perform other administrative duties as assigned.
HUD and LIHTC Compliance:
- Process annual recertification packets for HUD and LIHTC residents accurately and in a timely manner, adhering to all program guidelines and deadlines.
- Collect and verify resident income and asset information according to HUD and LIHTC regulations.
- Calculate rent and utility allowances based on program requirements.
- Maintain organized and accurate resident files, ensuring all required documentation for HUD and LIHTC compliance is present and up-to-date.
- Prepare and submit required reports to HUD and the state housing finance agency (or relevant oversight body).
- Stay informed about changes in HUD and LIHTC regulations and ensure property operations are in compliance.
- Conduct interim recertifications and adjustments as needed.
- Respond to inquiries and audits from HUD and monitoring agencies.
Qualifications:
- A good communicator with 5+ years of experience in the property management industry
- An expert in handling escalated situations
- Self-starter who works well in a team environment and independently
- Strong reasoning, organizational, prioritization, problem-solving and customer service skills
- Strong understanding of property management principles, practices, and relevant laws.
- Ability to effectively communicate information and ideas orally and in writing
- Proficient in Microsoft Office and/or Google Docs applications
- Familiarity with property management software
- HUD and LIHTC experience preferred
Job Type: Full-time
