We are seeking a highly organized and detail-oriented Document Control Specialist to join our dynamic team. In this vital role, you will manage and oversee the integrity, accuracy, and accessibility of all project and organizational documents. Your proactive approach will ensure compliance with industry standards such as ISO 13485 and ISO 9001, while supporting quality management systems and regulatory requirements. Responsibilities
- Develop, implement, and maintain robust document control procedures aligned with industry standards including ISO medical device quality management) and ISO 9001 (quality management systems).
- Manage electronic document management systems such as SharePoint and ERP platforms to ensure secure storage, version control, and easy retrieval of documents.
- Organize, file, and archive physical and digital documents systematically to facilitate quick access and compliance audits.
- Perform meticulous proofreading and review of technical documents to ensure clarity, accuracy, and adherence to company standards.
- Conduct data entry tasks with precision to update records, logs, and databases related to quality management and regulatory documentation.
- Support records management activities by maintaining comprehensive documentation trails for audits, inspections, and certifications.
- Collaborate with cross-functional teams to streamline document workflows, improve filing systems, and enhance overall document control processes.
- Assist in training team members on document control procedures and best practices for document management systems.
- Ensure compliance with regulatory requirements by maintaining accurate records in accordance with industry standards such as ISO 13485 for medical devices or other relevant frameworks.
- Participate in internal audits by providing organized documentation support and ensuring all records are up-to-date.
Skills
- Strong knowledge of ISO 13485 and ISO 9001 standards related to quality management systems.
- Proficiency in document management systems such as SharePoint, ERP platforms, or similar software tools.
- Excellent organizational skills with a keen eye for detail to manage filing, records management, and data entry tasks effectively.
- Proven experience in document control or administrative roles within regulated industries or quality-focused environments.
- Exceptional proofreading abilities to review technical documents for accuracy and consistency.
- Ability to handle multiple tasks simultaneously while maintaining high levels of accuracy under tight deadlines.
- Effective communication skills for collaborating across teams and training staff on document procedures.
- Familiarity with data management practices including data entry, record keeping, and report generation.
- Technical writing skills to prepare clear documentation that meets regulatory standards.
- Experience working with document control procedures within ERP systems or other enterprise software solutions.
