Overview:

As a Production Coordinator, you will play a crucial role in our office operations, providing top-notch customer service and efficient dispatch support. This position requires a highly versatile, organized, detail-oriented, competent individual who can manage multiple tasks and thrive in a fast-paced environment. You will coordinate with technicians and clients, ensuring seamless service appointments and installations while managing various administrative tasks.

Responsibilities:

Client Interaction and Dispatch:

  • Answer and manage incoming calls while providing an exceptional level of customer service.
  • Schedule, coordinate, and confirm service and install appointments efficiently using ServiceTitan software.
  • Dispatch field staff accurately, optimizing their routes to enhance service delivery.
  • Support the daily needs of field staff to keep each job moving forward.
  • Keep track of the status of each job and update schedules as needed. Communicate any changes or delays to clients and field staff promptly.
  • Address and resolve client issues with a solutions-oriented approach, or escalate them to the appropriate team member.

Administrative Functions:

  • Utilize ServiceTitan software for various administrative tasks.
  • Ensure that all job folders are complete and pre-closed to standard prior to being handed off to the accounting department.
  • Assist in permit application processes for various jobs as required. Keep up-to-date on permitting regulations and requirements.
  • Occasionally draft estimates and other detailed documents, requiring excellent command of spelling and grammar.
  • Perform other related duties as assigned by management.

Requirements:

  • High school diploma or equivalent required; further education in business administration, operations management, or related field preferred.
  • Proven experience as a production coordinator, field service scheduler, or similar role; experience in HVAC or plumbing industries preferred.
  • Strong organizational skills to handle high call volumes, scheduling complexities, and managing multiple tasks simultaneously.
  • Outstanding communication skills, both verbal and written. Excellent hearing and visual acuity are essential for effective communication and extensive daily computer use.
  • Competency in Microsoft Office applications (Word, Excel, To-Do) and the ability to learn new software quickly.
  • Experience with ServiceTitan or other field service management software preferred.
  • Detail-oriented with a focus on accuracy and efficiency in all tasks.
  • Ability to exert up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects. The job primarily involves sitting, yet requires the use of arm and/or leg controls that exert forces greater than typical for sedentary work.

Pay: $ $21.00 per hour
