We are seeking a detail-oriented and highly dependable Controller to oversee the day-to-day accounting operations of the church. This role is responsible for ensuring the accuracy, timeliness, and integrity of the financial records while supporting strong financial stewardship across the organization.
The Controller will work primarily in QuickBooks Online and will partner closely with the CFO, FP&A specialist, and internal finance staff. This role is execution-focused and operational in nature, ensuring that financial data is clean, reconciled, and well-documented so leadership can rely on it with confidence.
Key Responsibilities
Accounting & Close
- Own the day-to-day accounting operations within QuickBooks Online
- Perform weekly bank and account reconciliations to maintain real-time accuracy
- Ensure timely and accurate month-end close
- Maintain proper fund and account classifications consistent with nonprofit best practices
- Prepare schedules and support documentation for audits, reviews, or board reporting
Income, Giving & Tithe Reconciliation
- Reconcile all income streams including giving, tithes, donations, and other revenue sources
- Ensure giving data aligns between giving platforms, bank deposits, and QuickBooks
- Maintain clear documentation and audit trails for donor-related transactions
- Work collaboratively with operations and giving teams to resolve discrepancies promptly
Vendor Payments & Payables
- Manage vendor payments outside of W-2 & Subcontractor payroll
- Ensure proper documentation, approvals, and coding of all expenses
- Maintain vendor records and payment schedules
- Coordinate with the payroll manager, who handles W-2 employees and subcontractor payments, to ensure clean separation of responsibilities
Documentation, Receipts & SOPs
- Implement and maintain clear documentation and receipt storage practices
- Ensure expenses are properly supported, approved, and categorized
- Create, document, and follow standard operating procedures (SOPs) for accounting workflows
- Support continuous improvement of finance processes to reduce friction and errors
Systems & Process Integrity
- Maintain organized, auditable financial records
- Ensure consistency in data entry, coding, and classifications
- Support internal controls and financial accountability
- Identify process gaps and recommend improvements
Collaboration with FP&A
- Work in tandem with the FP&A specialist by providing clean, timely, reconciled data
- Respond promptly to data requests needed for forecasting, budgeting, and analysis
- Ensure accounting outputs support accurate financial planning and reporting
- Maintain a strong handoff between accounting and analysis functions
Leadership & Support
- Report to the CFO and support leadership with reliable financial information
- Communicate clearly and respectfully with staff across departments
- Serve as a steady, trusted presence within the finance team
- Uphold confidentiality, integrity, and alignment with the church's mission and values
What Success Looks Like
- QuickBooks is accurate, current, and fully reconciled
- Financial records are well-documented and audit-ready
- Income and giving are reconciled consistently and transparently
- Vendor payments are timely, accurate, and properly approved
- FP&A and leadership can rely on clean data without rework
- Finance operations feel orderly, calm, and trustworthy
Qualifications
- 5+ years of experience in accounting or controllership roles
- Strong proficiency in QuickBooks Online
- Experience with nonprofit or church accounting preferred
- Solid understanding of reconciliations, payables, and internal controls
- Highly organized with strong attention to detail
- Ability to follow and improve documented processes
- Comfortable working collaboratively with finance, operations, and ministry teams
- High integrity, discretion, and respect for a mission-driven environment
Reporting Structure
- Reports directly to the Chief Financial Officer (CFO)
- Works closely with FP&A, payroll, and operations teams
