Duties

  • Greet visitors warmly and professionally, directing them appropriately
  • Manage multi-line phone systems with courteous phone etiquette, screening and forwarding calls efficiently
  • Handle incoming correspondence, including emails, mail, and packages, with attention to detail
  • Maintain front desk operations by managing appointment scheduling and calendar management for staff and executives
  • Perform data entry tasks using Microsoft Office, Outlook, Cornerstone, and other office management tools
  • Organize and file documents accurately, ensuring easy retrieval for team members
  • Support office management activities such as supply inventory, filing systems, and proofreading documents for accuracy
  • Provide customer support by addressing inquiries promptly and professionally, whether in person or via phone or email
  • Coordinate with other departments to ensure smooth daily operations and effective communication

Requirements

  • Proven experience in an office environment or as a receptionist, with strong clerical skills
  • Excellent computer literacy including proficiency in EMR, and data entry skills
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Demonstrated ability to handle confidential information discreetly and professionally
  • Exceptional customer service skills with a friendly demeanor and positive attitude
  • Capable of typing quickly and accurately to support administrative functions
  • Knowledge of medical receptionist duties is advantageous but not required; willingness to learn is essential
  • Personal assistant or calendar management experience will be considered a valuable asset
  • Ability to multitask efficiently in a fast-paced setting while maintaining attention to detail
