EMI is looking for a Payroll Specialist who is responsible for all payroll functions. This includes performing a range of general clerical, payroll, accounting and bookkeeping support functions. To include efficient maintenance and processing of employee records and payroll transactions and accurately issuing pay to employees by calculating earnings and deductions in accordance with established practices and guidelines.
The Payroll Specialist is responsible for processing payroll runs, wage and benefit changes, reconciling payroll related accounts, producing reporting to support audits and ad hoc requests, answering employee questions and troubleshooting issues. This position reviews and inputs data from timesheets, production records, or individual time cards to a computerized payroll system and reviews payroll software output to ensure accuracy and compliance with company policies and regulatory standards. Must have the ability to work within deadlines and knowledge of double-entry bookkeeping principles. Relies on instructions and pre-established guidelines to perform the functions of the job.
Salary$20- $25/ hr. (DOE) plus employer paid insurance
Key Responsibilities
- All payroll functions
- Including prevailing wage and workers' comp reports and audits
- Process payroll for approximately 200 employees
- Post and reconcile payroll transactions in the general ledger
- Including employee taxes and benefits
- Process complex timesheets with multiple allocations and pay rates
- Research and resolve payroll and timesheet related issues
- Maintain payroll database and file payroll records
- Conduct appropriate reviews and reconciliations to ensure data integrity
- Assist in annual audits and other regularly required audits
- Inform the Accounting Manager/ CFO of all pertinent problems, irregularities, and other important information within area of responsibility
- Cross-train with other department positions to ensure seamless operation of accounting functions
- Work as part of the Accounting/Finance team to provide complete and accurate organization support
- Performing other related duties as assigned
- Detail-oriented and highly organized, with a high degree of personal integrity and mature judgment
- Must be able to maintain confidentiality of sensitive information
- Demonstrate data management skills
- Including the ability to enter data accurately, produce reports, and create Excel spreadsheets
- Ability to work on multiple and concurrent tasks with constant interruptions in a busy office environment
- Excellent time management skills and the ability to prioritize multiple tasks in order to meet deadlines
- Ability to work independently with minimal supervision
- Effective oral and written communication skills. English, spelling, grammar and punctuation required to produce and proofread simple written documents
- Effective technical, interpersonal, organizational and telephone etiquette skills
- Familiarity with multi-state payroll laws
- Demonstrated proficiency in MS Office applications (Word, Excel, and Outlook)
- Ability to effectively communicate with all levels of management, staff, and clients
- Requires excellent organizational, analytical, and problem-solving skills as well as excellent verbal and written communication skills
- Considerable knowledge of office practices, procedures, equipment, and standard clerical techniques
- Type; operate a personal computer, with emphasis on accuracy, mental alertness, and neatness
- Maintain confidentiality of information related to EMI Services, our customers, vendors and employees
- Be adaptable and flexible in work situations
- Must be able to establish priorities to ensure completion of tasks in a timely manner
Requirements
- Minimum of 2+ years of general payroll experience.
- Associate's or Bachelor's Degree in Accounting or related field. (May be substituted with 3–5 years of relevant experience).
- Exceptional attention to detail with the ability to accurately process high volumes of payroll data and identify discrepancies promptly.
Desired Qualifications
- Experience with collective bargaining agreements
- Experience with the Service Contract Act (SCA) and Davis-Bacon and Related Acts (DBRA)
- Demonstrated proficiency with computerized accounting systems; Deltek Costpoint experience is a plus.
Physical Requirements
- Carrying objects/boxes/print-outs short distances
- Extensive work with a personal computer
- May require lifting and moving as much as 25 pounds with assistance as needed
- Sedentary work; sitting most of the time
- Use of hands, reaching with hands and arms, talking, and walking
