Client Intake Specialist

Job Overview
The Client Intake Specialist is the first point of contact for prospective clients seeking homecare services. This role is responsible for gathering critical client information, verifying eligibility, coordinating assessments, and ensuring a smooth onboarding process. The ideal candidate will have excellent communication skills, attention to detail, and a compassionate approach to client interactions.
Responsibilities
- Answer incoming inquiries via phone, email, or referral sources regarding homecare services.
- Collect and document essential client information, including personal details, medical needs, insurance, and service requirements.
- Evaluate client eligibility for services based on agency criteria, payer source, and regulatory requirements.
- Schedule and coordinate in-home assessments with Homecare aides.
- Enter and maintain accurate client records in the agency's CRM or EMR system.
- Collaborate with case managers, caregivers, and other internal departments to ensure a seamless start of care.
- Communicate service plans, intake procedures, and expectations clearly to clients, their families and Homecare aides.
- Ensure all necessary intake forms and consents are completed and filed properly.
- Follow up on pending referrals, documentation, or insurance authorizations and document all contact attempts.
- Maintain confidentiality and compliance with HIPAA and other applicable regulations.
- Follow up on client leads given by the agency's business developer.
Skills
- High School Diploma or GED required, associate or bachelor's degree in healthcare administration or related field preferred.
- 1–2 years of experience in intake, admissions, or client services in a healthcare or homecare setting.
- Knowledge of homecare regulations, Medicaid, Medicare, and private insurance policies is a plus.
- Proficient in Microsoft Office and experience with EMR/CRM systems.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Empathy, patience, and professionalism when interacting with clients and families.
Preferred Skills:
- Bilingual (English/Spanish or other language) is highly desirable.
- Experience with home health or non-medical in-home care services.
Work Environment:
- Office-based.
- May involve occasional home visits or fieldwork with care coordinator.
- A fast-paced environment requiring adaptability and focus.
Job Type: Full-time
Pay: $20.00 per hour
