Job Summary:

The Operations Administrator provides essential administrative and operational support to ensure the smooth and efficient execution of daily field and office functions. This position serves as the primary liaison between Operations, Future Operations (FOPS), Account Management, and supporting departments such as Logistics and Billing. The Administrator maintains oversight of scheduling, staffing requisitions, payroll and billing coordination, vehicle tracking, and uniform inventory, ensuring operational continuity, accountability, and compliance across all areas of responsibility.

Key Duties and Responsibilities

Scheduling and Personnel Management

  • Partner with Future Operations (FOPS) and designated personnel to manage, assign, and reassign officer schedules and Master Seats.
  • Review and approve Paid Time Off (PTO) requests in coordination with the Account Manager.
  • Evaluate and authorize Overtime (OT) requests based on operational requirements and cost efficiency.
  • Process Temporary Assigned Shifts (TAS) by submitting change orders, assigning officers, and ensuring proper documentation.
  • Create and manage staffing requisitions, ensuring timely follow-up and completion through all phases of the hiring or reassignment process.
  • Generate and manage disciplinary cases, maintaining accurate documentation and communication with leadership.

Operational Oversight and Reporting

  • Ensure all patrol vehicles are properly assigned and accounted for; maintain accuracy of the Vehicle Tracker Report daily.
  • Conduct and submit Uniform Inventory and Issuance Reports; liaise with the Logistics Department to coordinate replenishment orders and ensure proper recordkeeping.
  • Maintain and update the GeneTech roster to ensure accurate personnel and site data. Billing and Payroll Coordination
  • Review subcontractor payroll and submitted invoices for accuracy prior to approval.
  • Prepare and organize billing packets, perform packet division, and execute invoice adjustments or changes as necessary.
  • Support ancillary billing and administrative tasks to ensure financial documentation is complete and compliant.

  • Familiarity with operational platforms such as SalesForce, Microsoft Office products, and billing systems.

Job Type: Full-time

Pay: $75, $80,000.00 per year
