Jupiter Bach is looking for an administrative assistant to join our team in our Pensacola, FL office. This person will work to support the daily operations of the office. 


The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.

Key Duties and Responsibilities:

  • Review incoming material certifications within two (2) days of receipt.
  • Update work instructions and ensure all production copies are current.
  • Maintain Kaizen training software by uploading work instruction updates and training requirements.
  • Create training logs for trainers whenever work instructions (WIs) are revised.
  • Complete Certificates of Conformance (COCs) for all nacelles and discs.
  • Perform updates and routine maintenance within the LPA software system.
  • Provide ongoing maintenance for MyDaily Inspection Software, including:
  • Updating questions in MyDaily as revisions are needed.
  • Assisting with general system maintenance.
  • Analyzing defect data from MyDaily to help Engineers identify improvement opportunities.
  • Create, distribute, and track Quality and Safety Alerts, ensuring they are signed by each department and properly filed.
  • Update and maintain the hold tag log.
  • Prepare, schedule, and coordinate internal audits using JBMS.
  • Conduct internal audits as assigned.
  • Monitor quality-related supplies and communicate when replenishment is needed.
  • Track scrap from scrap bins and record entries in the scrap log.
  • Perform additional duties as assigned.
Skills/Qualifications:
  • Proficiency in Microsoft Office applications.
  • Strong attention to detail with excellent written communication skills.
  • Ability to troubleshoot and work independently.
  • Experience with internal auditing is preferred.
  • Familiarity with ISO 9001 standards is a plus.
  • Knowledge of manufacturing processes and methods.
  • Strong verbal communication and interpersonal skills.
