Position Overview

Pro Tax Refunds is seeking a dynamic and experienced Tax Office Manager to oversee operations and lead a team of 50+ tax contractors. The ideal candidate must hold a valid PTIN, possess strong knowledge of federal and state tax regulations, and demonstrate proven leadership in managing high-volume tax offices. This role starts prior to tax season for preparation, continues during tax season at peak capacity, and may extend year-round based on performance.

Key Responsibilities

Pre-Tax Season (Preparation & Setup)

  • Recruit, onboard, and train 50+ seasonal tax contractors.
  • Prepare the office for operations (systems, compliance checks, workflow setup).
  • Ensure all staff have active PTINs and required credentials.
  • Coordinate marketing and outreach campaigns to generate clients.
  • Set up scheduling systems and client intake processes.

During Tax Season (Execution & Oversight)

  • Lead and manage 50+ contractors across multiple shifts to ensure productivity and compliance.
  • Oversee federal and state tax preparation services, ensuring accuracy and efficiency.
  • Supervise front desk operations, client intake, and workflow.
  • Resolve client escalations and maintain a high standard of customer service.
  • Track office performance (daily goals, client counts, revenue targets).
  • Provide leadership coaching and enforce compliance with IRS/state tax regulations.

Post-Tax Season (Follow-Up & Growth)

  • Conduct post-season performance reviews for staff and contractors.
  • Support off-season services (bookkeeping, extensions, audit assistance).
  • Maintain client relationships and prepare retention strategies for next season.Recommend operational improvements for greater efficiency and profitability.

Qualifications

  • Valid PTIN (Preparer Tax Identification Number) required.
  • Strong knowledge of federal and state tax laws and filing procedures.
  • 3–5+ years of experience in office management, preferably in tax or financial services.
  • Proven ability to manage and motivate 50+ contractors or a large seasonal workforce.
  • Excellent leadership, communication, and conflict-resolution skills.
  • Proficiency with tax software, scheduling systems, and office tools (Microsoft Office, CRM).
  • Strong organizational and multitasking abilities, especially under pressure.
