Community Relations Director for Assisted Living

I. TITLE OF JOB: Community Relations Director Assisted Living Sales

II. REPORTS TO: Community Executive Director and Corporate Director of Sales and Marketing

III. HEADQUARTER: Community

IV. QUALIFICATION STANDARDS

A. EDUCATION

It is required that the Community Relations Director has a minimum of a degree in marketing or business.

B. EXPERIENCE

At least a minimum of 1 to 2 years experience in Assisted Living Sales.

C. SKILLS REQUIRED

  1. Problem Solving: Identifies and resolves problems in a timely manner, gathering and analyzing information skillfully to develop alternative solutions both alone and with groups while using reason even when dealing with emotional topics.

  2. Analytical: Collects and researches data and synthesizes complex or diverse information.

  3. Customer Service: Manages difficult or emotional residents, family members, and employee situations, responding promptly to their request for service and assistance, while soliciting feedback to improved service insuring that commitments are met.

  4. Interpersonal: Focuses on solving conflict and not blaming. Maintains confidentiality. Listens to others without interrupting and keeps emotions under control. Remains open to others ideas and tries new things.

  5. Oral Communication: Speaks clearly and persuasively in positive or negative situations. Listens carefully and gets clarification. Responds well to questions.

  6. Team Work: Balances team and individual responsibilities, exhibiting objectively and openness to others views. Contributes to building a positive team spirit.

  7. Planning and Time Utilization: Consistently plans/coordinates work to achieve maximum productivity and efficiency without sacrificing quality, accuracy and customer service. Meets deadlines in completing job assignments and special projects.

  8. Computer and Technology Skills: Literate in Word and Excel, as well as in basic (Window) environment and downloading reports. Proficient in social media channels to include Facebook/Instagram etc. Proficient with simple video creation on phone app.

  9. Written Skills: Writes clearly and informatively; edits work for spelling and grammar; varies writing style to meet needs; presents numerical data effectively; and is able to read and interpret written information.

    V. DUTIES AND RESPONSIBILITIES

    The duties and responsibilities of the Family Advisor include overall design and implementation of all marketing programs. Responsibilities will include but not limited occupancy growth through receiving and creating leads from inquiry to tour to move in, maintaining a company held CRM, creating relationships and educating families and the market about benefits to senior living, collateral development, inside and outside sales and marketing efforts to include B2B relationship building, event attending and hosting, trade show and health fair coordination and attendance, daily and weekly reporting and goal setting. Achieve and maintain above average occupancy goals.

VI. FUNCTIONS OF THE JOB

  • ESSENTIAL

The following job functions have been determined to be essential of this position. Management reserves the right to modify this list and other functions as deemed necessary.

  1. Plan, execute and be accountable for a well-rounded marketing program by creating an annual plan and performing an annual market data collection.

  2. Implement company marketing policies and procedures and assure compliance.

  3. Engage the community team in customer service and hospitality best practices
  4. Achieve and maintain expected occupancy by expert lead follow and engaging with decision makers and the resources in the market (hospitals, long term acre facilities, rehab facilities, social workers, physicians, eldercare attorneys, geriatric care managers, seniors' groups and places of resource, etc
  5. Ensure that the Community meets company-established marketing standards.
  6. Assure that established marketing budget guidelines for each Community are maintained through the development, implementation and monitoring of budget control and cost containment programs.
  7. Adhering internal Community marketing policies and procedures, and other matters consistent with company philosophy, policies and budget.
  8. Review building and grounds through supervision of preventative and corrective maintenance programs to ensure a good first impression.
  9. Participate individually and in teamwork activities in striving for quality services, resident care, job performance, etc.
  10. Maintain privacy and confidentiality of records, conditions and the information relating to residents, employees and the Community.
  11. Solicit, review, intervene and report complaints and grievances made by residents, families, visitors, agencies, etc. to the Executive Director.
  12. Establish and encourage an atmosphere of optimism, warmth and interest in residents' personal and health care needs.
  13. Perform other related duties as assigned by the Executive Director.
  14. Provide leadership skills that foster enthusiasm to market and sell our products.
  15. Meet the weekly community visit quotas given by Executive Director and DOSM.
  16. Monitor daily census reports to determine needs of the community. Maintain visitation to residents in the inpatient facilities.
  17. Perform weekly expected outside sales calls and a weekly plan. Report daily on company Take5 report and weekly submission of Conversion report
  18. Develop and provide an effective sales cycle program.
  19. OTHER DUTIES

In addition to the essential job functions described above, the following job functions are important to the proper fulfillment of duties:

  1. Audit documentation on reports for errors or inconsistencies and makes necessary corrections or document reasons for corrections not made.

  2. Maintain liaison with Executive Directors, DoSM and other company representatives.

  3. Complete remainder of forms, reports, evaluations, studies, charting, etc. not considered as essential functions.
  4. Follow established smoking regulations and report violations.
  5. Monitor each community for possible health and safety hazards.
  6. Perform other related duties as assigned.

VIII. PHYSICAL STRENGTH REQUIRED

Minimal strength and agility is needed. Must be capable of lifting 25 pounds.

IX. ENVIRONMENTAL CONDITIONS

Because the essential functions of the job of the Family Advisor

often require exposure to bodily functions and infectious waste, diseases, odors and other situations associated with health care, including but not limited to exposure to AIDS, HIV and Hepatitis B viruses involving Risk Classification Categories 2 and 3, environmental and safety conditions will fluctuate. To be qualified for the position of Family Advisor, an applicant/employee will have the ability to work in an environment conducive to caring for residents without posing a substantial safety or health threat to self or others.
