Assistant Property Manager (On-Site / Field Operations) Overview

The Assistant Property Manager (APM) is the boots-on-the-ground support for the Property Manager, acting as their eyes, ears, and hands at the property. This role ensures day-to-day operations run smoothly, tenants are cared for, and the property is maintained to high standards. While leasing is not their primary responsibility, the APM supports leasing and marketing efforts as needed.

1. Key Responsibilities : Property Operations & Inspections

  • Conduct regular property walks to identify maintenance issues, safety hazards, and curb appeal opportunities.
  • Oversee common areas, groundskeeping, lighting, signage, and cleanliness.
  • Perform unit inspections (move-ins, move-outs, renewals, and periodic checks).
  • Report findings promptly and coordinate with vendors or maintenance staff to resolve issues.

2. Maintenance Coordination

  • Serve as the on-site point of contact for maintenance vendors and contractors.
  • Verify work completion and quality before closing out service requests.
  • Assist with scheduling preventive maintenance and emergency repairs.
  • Track and follow up on outstanding work orders or resident concerns.

3. Resident Relations

  • Be the friendly, professional face of the property for residents.
  • Address resident concerns in person and communicate resolutions effectively.
  • Deliver notices, assist with tenant communications, and support community events.
  • Support delinquency follow-up by making personal contact attempts when needed.

4. Administrative Support

  • Document inspections, incidents, and maintenance in property management software.
  • Collect and deliver paperwork, photos, or vendor invoices as needed.
  • Assist in verifying vendor insurance, licenses, and compliance on-site.
  • Provide real-time feedback and updates to the remote Property Manager.

5. Leasing & Marketing Support (As Needed)

  • Help with unit showings or open houses when directed.
  • Post signage, flyers, and assist with curb appeal during leasing efforts.
  • Verify unit readiness and model conditions.

Qualifications

  • Prior experience in property management, facilities, or related customer service role preferred.
  • Strong attention to detail and ability to spot maintenance or cleanliness issues.
  • Reliable transportation and willingness to travel between sites.
  • Excellent communication and organizational skills.
  • Comfortable using property management software and mobile tools for reporting.
