Step into a dynamic and growth‑oriented role as a Project Coordinator, supporting end‑to‑end project activity and ensuring seamless order processing across multiple channels. You'll work closely with Sales, Production, and Customer Service teams while maintaining accurate documentation and delivering exceptional customer support. This position reports to the Project Manager and is classified as non‑exempt.
Key Responsibilities- Review incoming orders for accuracy in pricing and quantities.
- Partner with Sales Representatives to clarify customer expectations.
- Enter and maintain orders in SAP, ensuring all project documentation is complete and up to date.
- Calculate costs, commissions, taxes, and shipping charges.
- Communicate proactively with customers regarding updated pricing, shipping timelines, and potential delays.
- Verify all paperwork and follow up with customers as needed.
- Prepare order documents for customer service manager review.
- Confirm material availability and track arrival dates.
- Create production documents and coordinate with the Production Coordinator.
- Monitor production orders to ensure on‑time delivery.
- Audit shipping orders for accuracy in quantities and freight charges.
- Specify special packaging or labeling requirements.
- Generate custom reports, KPIs, and correspondence; maintain updated databases.
- Document and resolve customer complaints to support satisfaction goals.
- Collaborate with production, shipping, warehouse, and carrier teams to resolve shipment issues.
- Learn and support customer‑specific processes and requirements.
- Maintain accurate customer records in SAP.
- Manage project backlogs and follow up based on material needs.
- Create and track Sample Requests to ensure timely shipment.
- Prepare shipping documents, including no‑charge replacements.
- Perform additional duties as assigned.
- 3+ years of administrative or coordination experience.
- Strong attention to detail and accuracy, especially in Excel.
- Excellent written and verbal communication skills.
- Experience with construction administration, document control, or customer service.
- Proficiency in project coordination, invoicing, and purchase orders.
- Working knowledge of SAP ERP and
- Strong interpersonal skills and ability to work collaboratively.
- Ability to stay organized and manage multiple priorities.
- Comfortable with occasional physical tasks such as lifting files or accessing storage.
- High school diploma or GED (or equivalent experience).
- Proficiency in Microsoft Office and Outlook.
- Experience with SAP or similar ERP systems is required.
