Education and Experience

High school diploma and one year work-related experience and/or training required. Classroom training in computer software (Word, Excel, and other office software) preferred, or must be able to demonstrate proficiency during pre-employment testing). Knowledge and experience with state and Federal regulatory compliance preferred. The Joint Commission accreditation, HIPAA, and quality outcome measurement and analysis preferred.

Mathematical Skills

Position Responsibilities (not all-inclusive)

Provide training and technical assistance to staff related to the EMR system under the supervision of the EMR Coordinator. Be available during work hours and as assigned outside of working hours, to respond to user requests for service and determine nature and extent of access needed.

Participate in EMR trainings with the current EMR provider. Have monthly meetings with the EMR Coordinator and the EMR vendor to go over any outstanding issues with. Be part of the EMR communities online to stay up to date with any new versions or technologies with the EMR.

Coordinate all aspects of planning, implementation, evaluation, and maintenance of EMR applications with internal staff, under the supervision of the EMR Coordinator. Maintain all employee access in the EMR system, including adding/terming employees along with updating roles/access. Research issues related to access when needed.

Consult with EMR Coordinator and clinical management to determine the needs of the EMR system in the organization.

Develop improvement processes by choosing and configuring hardware and software to collect, record, and share patient information, reduce redundancy, and standardize clinical practice and documentation, while adhering to federal and state regulations.

Respond to software problem calls on site or over the phone for users. Investigate error messages and determine resolution. Help triage calls to external IT vendor if needed.

Collaborate with external IT vendor for technical guidance and support for the design, selection, and implementation of new hardware and software requirements for EMR. Consult with the EMR Coordinator as needed.

Answer roll over calls and take/send messages as needed through internal communication system.

Cross train with Admin Operations Manager for processing patient bills.

Be the point of initial contact for all IT needs for the company and reach out to external IT vendor if needed.

Reset passwords for different systems in conjunction with the external IT vendor as needed during regular business hours.

Train the system's end users and write instruction manuals where none otherwise exist.

Develop and maintain the disaster recovery plans for the EMR in collaboration with the EMR Coordinator and IT vendor.

Provide technical backup support to the IT Vendor, maintaining knowledge of the latest processes and IT advancements.

Process all ADT (patient alarm system) requests and get systems to the patient's social worker. Return systems once they are no longer needed and maintain accurate count of the active systems in an Excel spreadsheet.

Maintain an ongoing awareness of regulations and standards specific to hospice care and EMR requirements.

Provide back up to medical records specialist for cancer letters and legal medical records requests.

Assist in medical record reviews ensuring accuracy and completeness, and that the protection of health information and patient privacy are maintained. Ensure that legal and/or audit review are directed to the Compliance Officer.

Process yearly AL Hospice Report in conjunction with the Finance Manager.

Serve as an internal and external liaison and resource between different hospice departments and outside entities, including vendors, oversight agencies, accrediting bodies and other parties, to ensure that Columbus Hospice's privacy and security practices are implemented, consistent, and coordinated.

Take all reasonable precautions to maintain privacy and non-disclosure of any confidential information about patients, other staff members, and the general operations of Columbus Hospice.

Participate in staff development (15 hours of CEUs) annually, 12 of which must be hospice related. Competency assessment proficiency. Attend one memorial service per evaluation year.

Accurately enter information into payroll timekeeping system in order to document work hours. Participate in performance improvement activities.

Participate in Joint Commission accreditation processes of Columbus Hospice and surveys by regulatory and other accrediting agencies.

Attend mandatory in-service education and staff meetings.

Support and adhere to Columbus Hospice policies, procedures, and standards of conduct.

Represent the company in a positive and professional manner at all times with others, e.g., co-workers, management, vendors, and customers.

Complete all job responsibilities in a thorough and complete manner, utilizing good judgment in all aspects of the job, including attendance requirements and prompt arrival at work.

When unsure of a directed task or any part of job responsibilities, proactively seek the assistance of immediate supervisor.

Assist with special projects, as requested.
