Professional Summary:
Highly organized and patient-centric Surgery Scheduler with proven experience coordinating the full surgical journey—from pre-op scheduling, insurance verification and authorizations, to post-op follow-up and patient education. Skilled at collaborating with physicians, clinical staff, billing teams, and external case‐managers to ensure smooth procedure logistics, accurate documentation and exceptional service. Equipped with strong attention to detail, electronic health record familiarity and the ability to thrive in a fast-paced healthcare environment.

Key Responsibilities:

  • Schedule all aspects of a patient's surgical journey: pre‐op and post-op appointments, tests/clearances, clinical staff and OR/ASC times.
  • Verify insurance coverage and obtain required surgery authorizations, health clearances, and pre-operative studies to ensure all are completed prior to procedure.
  • Review with the patient the risks and benefits of the surgery/procedure (per physician's order) and enroll them in required education classes as directed.
  • Act as primary point of contact for the patient, providing concierge-style coordination and support before, during and after surgery; serve as liaison between patient, physician, internal departments and external facilities.
  • Coordinate all arrangements for each surgical procedure, including any special equipment requested by the physician.
  • Respond to patient inquiries and complaints; provide service recovery or escalate to supervisor as needed.
  • Manage physician referral work-queues: complete referrals, handle correspondence, forms, requests for authorizations; assist with physician's calendar and any transcription needs.
  • Prepare patient charts: review and update demographics, insurance information, ensure accurate documentation.
  • Collaborate with the billing team to ensure surgical reports and charges are sent appropriately; provide information for audits when requested.
  • Work with workers' comp adjusters and case managers for workers'-comp procedures: obtain authorizations, ensure documentation is complete.
  • Provide additional clinical or administrative support based on operational needs.

Required:

  • High School Diploma or GED.
  • Minimum 1 year of experience scheduling surgeries or procedures (pre-op, OR scheduling, etc.).

Preferred:

  • Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA).
  • Familiarity with medical terminology, electronic health record (EHR) systems, and scheduling software/tools.
  • Strong organizational skills, attention to detail, ability to multitask in a fast-paced healthcare environment.
  • Excellent verbal and written communication, customer-service skills, ability to handle patient interactions sensitively and professionally.
  • Understanding of insurance authorization processes, pre-operative testing and clearance workflows.
