Position Title: Chief of Staff
Reports To: Chief Executive Officer (CEO)
Position Type: Full-Time, Exempt
Position Overview
The Chief of Staff serves as a strategic advisor and operational leader, working closely with the CEO to ensure organizational effectiveness, alignment, and execution of key priorities. This role oversees executive operations, grant strategy, financial processes, board communications, and development activities. The ideal candidate is highly organized, solutions-oriented, and adept at managing complex workflows in a fast-paced, mission-driven environment.
Key ResponsibilitiesExecutive Leadership & Support
- Manage the CEO's complex calendar, scheduling internal and external meetings and coordinating logistics for high-level stakeholder engagements.
- Serve as the primary liaison between the CEO and staff, board members, partners, and community stakeholders.
- Support strategic planning, workflow management, and organizational communication to advance the CEO's priorities.
Grant Strategy & Compliance
- Lead grant writing, reporting, and funder stewardship efforts, securing support from local and national foundations.
- Compile, analyze, and organize data for proposals and grant compliance reporting.
- Produce timely, accurate, and high-quality grant submissions aligned with organizational goals.
Board Relations & Communications
- Prepare board communications, including agendas, minutes, reports, and presentation materials.
- Create polished documents and visual materials using Microsoft Word, PowerPoint, Google Suite, and Canva.
- Ensure consistent, timely, and high-quality information flow to the board.
Financial Operations & Oversight
- Manage financial operations including bookkeeping, contractor invoicing, and monthly reconciliation in QuickBooks.
- Oversee financial reporting and documentation for audits to ensure accuracy and compliance.
- Develop and monitor annual operating and program budgets; analyze financial trends to guide organizational decision-making and grant alignment.
Development, Outreach & External Engagement
- Support donor engagement and stewardship activities, maintaining strong relationships with supporters.
- Assist in planning and executing fundraising events, community outreach efforts, and special initiatives.
- Coordinate social media, email marketing, and newsletter communications to strengthen brand awareness and community reach.
Qualifications
- Bachelor's degree in a related field or equivalent experience.
- 3+ years of experience in nonprofit management, executive support, development, or operations.
- Proven success in grant writing and reporting.
- Strong financial management skills, including experience with QuickBooks and budgeting.
- Excellent written and verbal communication skills.
- High proficiency in Microsoft Office, Google Workspace, and Canva; knowledge of donor CRM systems preferred.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.
- Strong judgment, discretion, and ability to handle sensitive information.
Pay: $63, $75,000.00 per year
