We're seeking a full-time Legal Administrative Assistant to serve as the right hand to our Owner and CEO. In this role, you'll manage travel, emails, scheduling, and communications, as well as support sales, billing, legal document production, and special projects. This is an excellent opportunity for someone who is highly organized, proactive, and eager to grow in a mission-driven organization.

Key Responsibilities:

  • Executive Support to CEO
  • Manage a dynamic calendar, including scheduling internal and external meetings.
  • Monitor and organize the CEO's inbox and help prioritize communications.
  • Coordinate national travel, accommodations, and itineraries.
  • Prepare the CEO for meetings and presentations by gathering materials and anticipating needs.
  • Serve as a liaison between the CEO and internal staff, clients, and external partners.

Administrative & Sales Support

  • Assist with general administrative tasks such as data entry, filing, and managing digital records.
  • Coordinate and track office supply orders and vendor relations.
  • Provide light billing and invoicing support.
  • Support sales activities including lead tracking and CRM updates (Salesforce experience a plus).

Project Coordination & Document Production

  • Assist project managers by producing templated documents quickly and accurately.
  • Support communication between cross-functional teams and external stakeholders.
  • Prepare contracts, proposals, presentations, and project-related communications.
  • Conduct research on special assessment districts and improvement district laws.
  • Help form new nonprofit corporations and file IRS/FTB tax-exempt applications.

What You'll Learn

  • Improvement district laws and governing documents.
  • Legal and organizational documentation including contracts, bylaws, and assessments.
  • Research methods and practical legal writing.
  • Foundations in consulting, improvement district law, and project management.

Minimum Qualifications:

  • Associate degree or higher required; Bachelor's degree in business, legal studies, or related field preferred.
  • Preference given to candidates with legal training or legal office experience.
  • Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint).
  • Experience with Salesforce or project management tools a plus.
  • Sacramento-area residency required.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Comfortable working independently and handling confidential information.

Compensation & Benefits:

  • This is a full-time position, Monday – Friday, 8:30 a.m. – 5:00 p.m.
  • Starting pay: $20–$25 per hour, depending on experience.
  • Medical, dental, sick, paid holidays, and vacation time.
  • 401(k) eligibility after one year of employment.
