Hotel Contracts Manager

Position Summary

The Hotel Contracts Manager is responsible for overseeing the full contract lifecycle—including drafting, reviewing, negotiating, and executing agreements—while fostering strong relationships with hotel partners and client stakeholders. This role collaborates closely with Account Directors to prioritize and manage contracting needs in alignment with the specific requirements of each event.

Key Responsibilities:

Compliance:
Ensure all contracts adhere to client- specific legal, regulatory, and policy requirements.

Negotiation:
Secure favorable terms and conditions through strategic negotiations with hotel partners.

Risk Management
: Identify, assess, and mitigate potential risks related to hotel agreements and contract execution.

Relationship Management:
Cultivate and maintain strong, collaborative relationships with hotel partners to support long-term success.

Performance Monitoring:
Track and evaluate hotel performance against contractual commitments, utilizing data analytics to ensure accountability.

Sourcing:
Conduct thorough research and compile a list of potential hotel properties aligned with client specifications and event requirements.

Data Analysis:
Assist in the preparation of contract data reports and analysis.

Required Skills and Experience:

  • Bachelor's degree in business, Hospitality Management, or a related field required.
  • 8 to 10 years of experience in hotel sales, client services, or operations within a hotel or convention housing environment and hotel contracting included as an essential part of your responsibility.
  • Proven ability to negotiate favorable terms and contract commitments with hotel partners.
  • Experience working with city-wide convention hotels preferred.
  • Strong contract management skills, best practices, and knowledge of legal processes and terminology.
  • Competent in evaluating and managing the commercial components of hotel contracts.
  • Proven tracking methodology for contracts' status.
  • Skilled in data analysis and trend identification to support strategic, data-driven decision-making.
  • Excellent interpersonal and communication skills for effective collaboration with internal teams and external stakeholders.
  • Strategic thinker with the ability to understand industry challenges and develop actionable solutions.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and database systems.
  • Ability and willingness to innovate and learn new systems such as a contract management database used for contract creation, tracking, communicating, reporting, and compiling contract data.
  • Demonstrated experience working with ChatGBT functionality and AI tools preferred.
  • Highly organized, detail-oriented, and capable of managing multiple priorities simultaneously.
  • Exceptional written and verbal communication abilities.
  • Strong time management skills with the ability to meet deadlines consistently.
  • Committed to delivering outstanding customer service and maintaining strong client relationships.
  • Adaptable and comfortable defining business needs and objectives in a dynamic work environment.
  • Able to work effectively both independently and as part of a remote team in a professional home environment with stable internet connectivity.
  • Satisfied working from home outside of an office environment.

  • Training will take place remotely in the Herndon VA office where meetings may also take place as needed.
  • Prefer Northern VA/Maryland/DC local candidates seeking a remote position.
