Reports to:Senior Project Manager, Events & Programs

The Opportunity:

The Events Coordinator will leverage their project coordination abilities to help the organization plan and execute impactful events and support the growth of the Events Program. Demonstrating a skillset and work ethic that is reliable, collaborative, and detail-oriented, the Events Coordinator will support the project management, event programming, and production of Greenlining's Events Program, including the Just Future Summit, our semi-annual large-scale convening, as well as our Leadership Academy graduation, Equity Labs, and other small-scale signature events. Reporting to, and partnering with the Senior Project Manager of Events & Programs, the Events Coordinator will work as part of an energetic and high-achieving Development and Communications team, and alongside our Policy teams to execute events that amplify Greenlining's priorities and support the growth of the organization.

Program Responsibilities:

Project Management & Administration

  • Provide administrative capacity and project coordination support for the Events team in the planning and execution of Greenlining events, including Greenlining's flagship conference, Equity Labs, and Academy Graduation.
  • Liaison with internal stakeholders throughout event planning processes and manage all administrative aspects of the Internal Events Committee
  • Interface with external events consultants to support clear administrative workflows throughout event planning processes
  • Execute the general administrative operations of the Events team, including scheduling meetings, agenda creation, processing and tracking invoices, and supply management

Event Production and Logistics

  • Coordinate key event logistics, including but not limited to: speaker logistics, supply ordering, onsite setup, rooming list management, travel and hotel management, etc.
  • Manage the process of recruiting and overseeing Event volunteers, including preparing training materials and leading day-of event volunteer management
  • Prepare and manage run-of-show documents, staffing plans, and on-site coordination tools to ensure smooth logistical delivery and quick resolution of emerging needs during events.

Attendee Experience

  • Execute all attendee experience aspects of event planning, including event website creation through Cvent, events app engagement, registration journey, attendee email communications, day-of attendee flow, events case support for attendees, and post-event survey distribution
  • Manage inventory, preparation, and organization of attendee materials and supplies such as name tags, lanyards, programs, etc.

Reporting & Analysis

  • Support Events team with post-event data analysis, including the collection, assessment, and presentation of data through event reports in support of the larger Events Program strategy
  • Partner with program staff to ensure event learnings are shared across teams and integrated into future cross-departmental planning efforts and external communications.

QUALIFICATIONS/REQUIREMENTS
  • 1 years experience in event coordination or similar administrative support role preferred
  • HS Diploma or GED required, Bachelor's Degree preferred.
  • Strong understanding of racial justice issues and commitment to championing causes that serve communities of color
  • Excellent project management skills
  • Demonstrated excellence in organizational planning and administrative support
  • Demonstrated interpersonal skills including flexibility and the ability to listen, negotiate and collaborate with various stakeholders
  • Ability to work independently and be both creative and strategic when confronted with complex and multifaceted opportunities and challenges, including competing timelines and priorities
  • A positive attitude, compassion, and strong team-oriented work ethic
  • Proficient in Google Suite, Cvent or similar events platform, Asana, and Excel
  • Ability and willingness to travel, as needed, to events and conferences throughout the state and possibly other locations

SALARY: The salary range for the position is $62,275 - $71,571.
