Patient Service Representative
The Patient Service Representative serves as the first point of contact for patients in a dental office, ensuring a welcoming, efficient, and professional experience. This role combines administrative support, customer service, and basic clinical coordination to support smooth office operations and high patient satisfaction.
Key Responsibilities
- Patient Interaction & Scheduling:
- Greet patients warmly upon arrival, check them in/out, and verify demographic/insurance information.
- Schedule, confirm, reschedule, and cancel appointments using practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
- Manage phone lines: answer inquiries, route calls, take messages, and provide information on services, office policies, and preparation instructions.
- Financial & Insurance Coordination:
- Collect co-pays, process payments (cash, credit, checks), and issue receipts.
- Verify insurance eligibility, explain coverage/benefits, submit pre-authorizations, and file claims.
- Discuss treatment costs, create payment plans, and follow up on outstanding balances.
- Administrative Duties:
- Maintain accurate patient records, scan documents, and ensure HIPAA compliance.
- Prepare daily schedules, manage patient flow, and coordinate with dental team on room readiness.
- Handle incoming/outgoing mail, order office supplies, and maintain a clean, organized front desk area.
- Support Clinical Team:
- Relay patient concerns or special needs to dentists/hygienists.
- Send appointment reminders via phone, text, or email.
- Customer Service & Problem Resolution:
- Address patient questions, complaints, or emergencies calmly and professionally.
- Promote additional services (e.g., whitening, Invisalign) per office protocols.
- Follow up with no-show patients and manage recall systems.
Required Qualifications
- Education: High school diploma or equivalent; associate's degree in healthcare administration or related field preferred.
- Experience: 1–2 years in customer service, medical/dental front office, or administrative role; dental terminology knowledge a plus.
- Skills:
- Proficient in dental practice software and Microsoft Office (Word, Excel, Outlook).
- Excellent verbal/written communication and active listening.
- Strong organizational skills, multitasking, and attention to detail.
- Familiarity with dental insurance (PPO, HMO, Medicaid) and billing codes (CDT).
- Bilingual (English/Spanish) preferred in diverse communities.
