Patient Care Coordinator/Office Manager

Job Summary
We are seeking a dedicated and organized Patient Care Coordinator/Office Manager to oversee daily operations within our healthcare facility. The ideal candidate will possess a strong background in medical office management, administrative support, and team supervision. This role requires excellent communication and organizational skills to ensure smooth office functioning, exceptional patient service, and efficient clinic operations. The successful candidate will be proactive, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment.
Responsibilities
- Coordinate patient scheduling, appointment management, and calendar oversight to optimize provider availability.
- Supervise front desk staff, ensuring professional phone etiquette and excellent customer service standards.
- Manage vendor relationships, including supply procurement and service contracts, to maintain operational efficiency.
- Oversee billing processes, bookkeeping, and payroll functions using QuickBooks or similar accounting software.
- Assist with human resources tasks such as staff training, development, and performance evaluations.
- Handle office administration duties including filing, record keeping, and maintaining compliance with healthcare regulations.
- Support event planning for community outreach or staff development activities to foster team engagement.
- Manage office supplies inventory and oversee budget adherence to ensure cost-effective operations.
Experience
- Proven experience in medical office management or healthcare administrative roles with a minimum of several years in a supervisory capacity.
- Demonstrated proficiency with QuickBooks for bookkeeping, payroll processing, and financial reporting.
- Strong background in schedule management, vendor relations, and office administration.
- Experience supervising staff members across clerical and administrative functions within a healthcare setting.
- Knowledge of human resources practices including training & development and employee relations.
- Familiarity with medical office procedures such as patient intake, filing systems, multi-line phone systems, and front desk operations.
