Job Overview

We are seeking a professional, organized, and customer-focused Front Desk Assistant to join our auto repair team. This role is essential to providing exceptional service and ensuring smooth shop operations. Success in this position depends on being a true people person—someone who is friendly, patient, and thrives in customer-facing interactions.

Duties

  • Greet visitors and customers with a positive attitude, kindness, and a welcoming smile
  • Manage a multi-line phone system and handle incoming calls efficiently and professionally
  • Schedule appointments and maintain an accurate technician calendar
  • Update customers regarding vehicle status, repair timelines, and pickup logistics
  • Perform data entry, create repair orders, and maintain accurate records and filing systems
  • Collect payments, process invoices, and manage receipts
  • Provide support to the General Manager with day-to-day tasks as needed
  • Ensure the reception area remains clean, welcoming, and organized at all times
  • Follow up with customers to ensure satisfaction and assist with future appointment scheduling

What We Are Looking For

  • Prior reception experience highly preferred, with strong verbal and written communication skills
  • Background or familiarity with the automotive industry is a plus
  • Friendly, customer-first attitude with a professional appearance and demeanor
  • Ability to thrive in a fast-paced environment with excellent multitasking and time management skills
  • Experience with multi-line phone systems and calendar management tools
  • Knowledge of automotive repair terms, vehicle systems, or repair order software is helpful but not required
  • Reliable, punctual, detail-oriented, and comfortable using computers, email, and basic office equipment
