Summary

The Procurement Coordinator provides day-to-day administrative and purchasing support to the Certarus procurement team. This position plays a key role in ensuring purchase orders, supplier communications, and document workflows are accurate, timely, and compliant with company policies. The Procurement Coordinator works closely with Operations, Accounting, and Engineering to track deliveries, reconcile invoices, and maintain up-to-date supplier records. This is an excellent opportunity for someone early in their career to gain hands-on experience in supply chain and procurement within a fast-paced, growth-oriented energy company

Schedule

  • The schedule follows normal business hours
  • Little to no travel is expected for this role

Duties & Responsibilities

  • Provide administrative support to the procurement team
  • Create and maintain purchase orders in the ERP system
  • Monitor delivery schedules and follow up with vendors on order status
  • Obtain and compile supplier quotes for routine purchases
  • Reconcile invoices and resolve basic order or pricing discrepancies
  • Maintain up-to-date supplier records and pricing lists
  • Escalate issues or delays to more experienced team members, negotiate, award and document purchases for materials, services, and supplies, including strategic pursuits
  • Ensure that requirements (prime contract, quality, terms and conditions) are properly communicated to suppliers
  • Manage supplier relationships and performance to cost, schedule and quality requirements
  • Assist in the development of customer bids and agreements where needed
  • Work closely with Certarus customs compliance on international shipment of materials to ensure accuracy and consistency from purchase order through to payment
  • Interact with various internal customers, contractors, attorneys, system support representatives in team settings to monitor the progress of work, resolve problems and ensure performance standards are met
  • Identify contract issues to be escalated and coordinate/facilitate the management of the resolution to these issues. Ability to make decisions where appropriate and seek support where necessary in accomplishing goals
  • Utilize company systems to interpret and leverage data to support activities

Requirements

  • Bachelor's degree in a related field or equivalent experience
  • 0–2 years of experience in procurement, supply chain, or administrative support preferred but not required
  • Understanding of business drivers and ability to develop work and execution plans to meet objectives
  • Demonstrated experience in creating new contracts, renewing existing contracts and negotiating contracts with new and existing suppliers
  • Ability to plan, delegate and evaluate progress toward goals for multiple ongoing projects
  • Excellent written and verbal communication skills
  • Strong analytical skills and organizational capabilities; detail oriented; capable of working in an autonomous environment; as well as in collaborative groups
  • Commitment to strong HSE and Trade Control Compliance culture
  • Experience with import/export regulations an advantage
  • Experience across both the US & Canada an advantage
  • Able to travel to meet vendors and suppliers as necessary
