Office Assistant Property Management

We are looking for a competent Office Assistant Property Management - Maintenance and Office support to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. This position will be in an introductory/Training period initially and transitioned into a full-time after 1 or 2 months.
Responsibilities
- Ability to speak effectively with vendors, tenants as well as owners.
- Sort and distribute communications in a timely manner with owners, vendors and vendors
- Schedule and plan with vendors to ensure maintenance is completed in a timely manner
- Work with Field Specialist on a daily basis to ensure routes are correct
- Maintain trusting relationships with vendors, tenants and property owners
- Coordinate with other departments to ensure compliance with established policies
- Handling of maintenance issues from tenants
- Assists the front office and perform front office duties when needed
- Assist Office Manager with maintenance coordination and Inspection
- Assist with showings, if allowed by state regulations.
- Identify and notify office of lease violations.
- Pitch in and perform a variety of tasks as needed
- Report all deficiencies or non-compliance issues to the office immediately, add histories to appropriate accounts in the software.
Qualifications
- Have no prior criminal record
- Have reliable transportation
- Have a high school diploma or equivalent.
- Be professional and present himself/herself well.
- Have solid communication and organization skills.
- Successfully complete the All County Orientation training.
- Be a take-charge, organized individual.
- Be self-motivated.
- Be willing to pitch in and do whatever is needed.
- Demonstrate the highest ethical and professional standards.
- Ability to speak effectively with Office staff, tenants and vendors.
- Work with Office manager on a daily basis to ensure routes are correct
- Maintain trusting relationships with vendors, tenants and property owners
- Excellent customer service skills
- Thorough understanding of office management procedures
- Excellent organizational and time management skills
Bilingual proficiency in English and Spanish is a plus.
