Vendor Relations Specialist

Job Summary:
Reporting to the Vendor Relations Supervisor/Manager, this role is responsible for managing the daily repair and equipment maintenance process, ensuring timely and accurate coordination between customers, vendors, and internal teams to facilitate efficient resolution of service requests.
Key Responsibilities:
- Receive and document customer repair requests, coordinating with vendors to ensure prompt completion.
- Log all issues into designated systems, follow up with vendors and clients to meet deadlines, and provide regular updates.
- Address daily operational issues related to vendors, working collaboratively with internal partners to resolve concerns swiftly.
- Review vendor quotes, determine next steps, coordinate parts ordering, and manage trash and equipment needs.
- Verify accuracy of work orders and related data to streamline processing, billing, and reporting.
- Monitor team emails and systems for new requests or escalations, providing coverage as needed.
- Maintain accurate records within assigned territories to meet individual and team performance metrics.
- Analyze existing processes, identify areas for improvement, and recommend solutions for ongoing operational efficiency.
- Interact with external entities, including vendors and other departments, to resolve issues affecting operations.
- Support the onboarding of new vendors and contribute to process improvement initiatives.
Qualifications:
- High School Diploma or GED required; no prior experience necessary.
- Strong communication and organizational skills.
- Ability to handle multiple tasks efficiently and accurately.
- Proficiency in basic computer systems and data entry.
- A proactive approach to problem-solving and process improvement.
Work Environment:
- Hybrid office setting with a combination of in-office and remote work.
- May involve occasional physical effort (handling objects under 30 pounds).
- Exposure to minimal physical risks; work environment may include typical office conditions.
