Qualifications
- Education/Degree(s):
- Required: High school diploma or GED equivalent
- Preferred: Associate's or Bachelor's Degree in Information Technology, Business Administration, Supply Chain Management, or a related field.
- Professional Experience: Minimum of two (2) years of demonstrated experience working in a dedicated IT inventory, asset management, logistics, or related supply chain or technology role.
- At least one (1) year of experience utilizing a professional IT Asset Management or computerized maintenance management system database for tracking and reconciliation.
- Proven experience in a role requiring physical handling, warehousing, and logistical coordination for technology or similar physical assets.
- Experience within a Public Sector organization (specifically K-12 education or government) is highly desirable, demonstrating familiarity with public purchasing and asset disposition regulations.
- Must possess a valid state driver's license and an acceptable driving record to operate District vehicles for equipment transport between sites.
Special Knowledge/Skills
- Expertise in Asset Management Systems: Demonstrated proficiency in utilizing, maintaining, and generating reports from IT Asset Management and inventory software.
- Data Management and Analysis: Advanced proficiency with Microsoft Excel or similar tools for data manipulation, analysis, reconciliation, reporting, and identifying inventory discrepancies.
- Hardware and Lifecycle Knowledge: Solid working knowledge of standard educational technology hardware (desktops, laptops, monitors, printers) to accurately document, tag, and understand the technology lifecycle from procurement to disposal.
- Record Keeping and Auditing: Proven ability to establish and maintain accurate, comprehensive, and auditable records for all technology assets, movements, and transactions.
- Policy Implementation: Strong capability to interpret, implement, and enforce policies and procedures related to technology asset management, inventory control, and asset disposition.
- Compliance Understanding: Knowledge of applicable federal, state, and local compliance requirements for managing public assets, particularly within a K-12 educational setting.
- Process Improvement: Ability to critically review existing processes and help develop innovative, efficient, and scalable procedures for inventory and logistics.
- Warehouse Operations: Working knowledge of safe warehouse practices, inventory staging, storage organization, and the proper use of material handling equipment (e.g. pallet jacks).
- Physical Stamina and Safety: Must demonstrate the ability to safely perform frequent lifting, carrying, pushing, and pulling of bulky or heavy IT equipment (up to 50lbs.) and adhere strictly to all safety protocols for manual handling.
- Organizational and Attention to Detail: Exceptional attention to detail and organizational skills necessary for managing a large volume of assets and preventing inventory shrinkage or errors.
- Problem-Solving and Critical Thinking: Must be a critical thinker with strong problem-solving skills to quickly identify, troubleshoot, and resolve asset-related, logistical, or data integrity issues.
- Communication and Interpersonal Skills: Excellent written, oral communication, and interpersonal skills to clearly document procedures, communicate effectively with vendors, and provide strong customer service to District staff.
- Project Management Fundamentals: Ability to manage multiple tasks or small projects concurrently, prioritizing work to meet deployment or inventory deadlines.

Major Responsibilities And Duties
Asset Tracking and Inventory Management
- Own and execute the complete technology asset inventory process, ensuring accurate and up-to-date records of all technology equipment across the District.
- Maintain the integrity of the asset management system by meticulously documenting the receipt, assignment, movement, changes, and disposal of all IT assets throughout their lifecycle.
- Conduct regular, scheduled physical inventories and audits of technology assets to reconcile physical count with inventory records and identify discrepancies.
Process Improvement and Strategy
- Collaborate on the development and implementation of effective policies, processes, and procedures for technology asset management that drive efficiency, compliance, and innovation in inventory control.
Asset Disposition and Lifecycle
- Coordinate the proper disposition of surplus and obsolete IT assets, ensuring assets are prepared for repurposing or environmentally sound disposal.
Compliance, and Service
- Ensure strict compliance with all policies and procedures established by federal and state laws, State Board of Education rules, and local District board policy concerning the management of public assets.
- Provide exemplary customer service and support to District staff regarding asset requests, inquiries, and inventory processes.
Vendor and Stakeholder Collaboration
- Act as a liaison with technology vendors for warranty claims, asset returns, and tracking of repair/replacement processes.
- Collaborate closely with the District's Purchasing/Finance department to ensure seamless coordination of asset purchase and deployment.
Logistics and Operations Duties
- Execute the safe and efficient handling and movement of IT equipment within and between District sites and the central warehouse.
- Perform all warehouse duties related to asset management, including organizing, shelving, retrieving, and preparing technology assets for deployment or disposal.
- Operate warehouse equipment, such as pallet jacks to safely move heavy or bulky IT assets, including printers, monitors, computers, and palletized equipment.
- Required to frequently lift, carry, push, and pull equipment weighing up to 50lbs and occasionally move items exceeding that weight with assistance or proper material handling equipment.
- Load and unload shipments of technology equipment from delivery vehicles, verifying counts and condition against purchase orders and receipts.
- Maintain a clean, organized, and secure storage area for all IT assets in the warehouse, adhering to safety protocols and inventory best practices.

Mental Demands/Physical Demands/Environmental Factors:
- Lifting & Carrying - Frequent lifting, pushing, pulling, and carrying of IT equipment (e.g., printers, monitors, computers) weighing up to 40 pounds independently is required. Must be able to occasionally lift and move items weighing up to 40–100 pounds with the assistance of a coworker or appropriate material handling equipment.
- Motion & Posture - Required to frequently stand, walk, bend, stoop, crouch, reach overhead, and climb stairs/ladders within the warehouse. Prolonged periods of sitting and repetitive hand/wrist motions (keyboarding, mouse use) are also required during data entry and reporting tasks.
- Tools & Equipment - Regularly uses standard office equipment (computer, phone, printer). Must safely and proficiently operate material handling equipment, including manual and/or electric pallet jacks.
- Work Environment - Works in both an indoor office setting and a non-climate-controlled warehouse environment with exposure to dust, noise, and seasonal temperature fluctuations. Required to travel between District sites to pick up or deliver equipment.
- Attention to Detail - Must maintain a high degree of focus and absolute accuracy during data entry, inventory counts, and record reconciliation to ensure financial and compliance integrity.
- Problem-Solving - Requires the ability to perform critical thinking to troubleshoot inventory discrepancies, resolve logistical challenges, and interpret complex data/reports.
- Organization & Prioritization - Must manage and prioritize multiple simultaneous tasks (e.g., inventory audits, deployment logistics, disposal processing) under strict deadlines.
- Communication - Ability to clearly convey complex asset information (written and verbal) to technical staff, administrators, and non-technical end-users (teachers/staff).
- Compliance - Requires the mental discipline to consistently adhere to and enforce detailed policies, procedures, and legal compliance mandates related to public asset management.
