Job Overview
We are seeking a highly organized and proactive Front Desk coordinator for our La Jolla location. You will oversee daily operations and ensure the smooth functioning of our office environment.
The ideal candidate will possess strong administrative, organizational, and leadership skills, with experience in office management, human resources, and vendor relations.
This role requires excellent communication skills and the ability to manage multiple tasks efficiently.
The Front Desk coordinator will play a key role in supporting team development, making sure that both components of the business (clinical and wellness aspects) can run in unison with eachother, and ensuring compliance with company policies.
You must be comfortable and pro-active in learning about clinical items, their purpose and usage.
Duties
- Manage daily office operations, including front desk responsibilities and multi-line phone systems
- Oversee calendar management and schedule appointments for staff and executives
- Organize event planning for company meetings, corporate events, and team-building activities
- Maintain filing systems, records management, and document control
- Manage office supplies inventory and procurement processes
- Ensure effective communication across departments through phone etiquette and clear information dissemination
- Support medical office management if applicable, including patient record organization and appointment scheduling
Qualifications
- Proven experience in administrative roles with strong office experience
- Be able to fully articulate yourself in an intelligent manner with a full grasp of the english language
- Proficiency in accounting and calendar management tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Ability to handle confidential information discreetly and maintain professionalism at all times
- Demonstrated ability to train staff and support team development initiatives
- Knowledge of medical office management is a plus but not required
- Ability to explain wellness modalities offered in an intelligent and articulate manner
- Ability to problem solve and think on your feet to deal with client/operational issues that arise
- Ability to upsell and cross-sell memberships and services offered at both of our locations
- Must demonstrate ability to complete tasks in an efficient manner with a sense of urgency
