We are expanding our administrative and clinical support team and seeking a motivated Patient Coordinator / EHR Trainer to help streamline patient experience and enhance system efficiency.

Job Summary

The Patient Coordinator / EHR Trainer serves as the link between patients, clinicians, and internal operations. This hybrid role supports daily scheduling and patient communications while developing and delivering training for staff on EHR platforms such as Kipu and Tebra. This role offers an opportunity to work in a dynamic healthcare environment, supporting patient needs while maintaining high standards of professionalism and confidentiality.The ideal candidate will bring strong organizational skills, technical confidence, and a patient-centered approach.

Key Responsibilities

Patient Coordination

  • Schedule and confirm patient appointments.
  • Ensure intake forms are completed and uploaded prior to first sessions.
  • Verify insurance eligibility and assist with claims submission.
  • Respond promptly to patient calls, emails, and messages.
  • Maintain accurate patient records and uphold HIPAA compliance.

EHR Training & Support

  • Train new and existing staff on EHR workflows and documentation standards.
  • Develop and update user guides, checklists, and video tutorials.
  • Conduct one-on-one or group training sessions via Zoom or in person.
  • Troubleshoot user issues and assist with ticket escalation.
  • Track training progress and provide reports to management.

Minimum Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • 2+ years of experience in patient coordination, medical administration, or billing preferred.
  • 2+ years of experience training staff on EHR or healthcare software preferred.
  • Proficiency in Kipu, Tebra, or comparable EHR systems is highly desired.
  • Excellent communication, organization, and follow-up skills.
  • Must be tech-savvy, reliable, and comfortable working in a remote environment.

Knowledge , Skills, and Abilities

  • Strong understanding of HIPAA, data privacy, and security standards.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to create clear, engaging, and effective training materials.
  • Strong organizational skills with attention to accuracy and timeliness.
  • Proficient in Google Workspace, and remote collaboration tools (e.g. Google meet)

Working Conditions and Environment

Work setting: Remote (California). The employee must provide a professional, secure, and confidential home workspace with a reliable high-speed internet connection.

Schedule: Full-time; Monday through Friday; 9 am to 5 pm (Pacific Standard Time). Occasional flexibility may be required to accommodate training sessions or meetings

Equipment: The company provides access to necessary software platforms and secure login credentials. The employee may use a company-issued computer that meets security requirements.

Physical Demands

  • Prolonged periods of sitting at a computer workstation.
  • Frequent use of hands and fingers to operate computers, phones, and office equipment.
  • Ability to communicate effectively via video conference, phone, and written correspondence.
