Hercules Fence, a recognized leader in residential, commercial, high-security fencing, and anti-terrorism force protection systems, is seeking a skilled and detail-oriented Accounts Receivable Coordinator to join our team in Manassas, VA.

With multiple locations throughout Southeastern, Central, and Northern Virginia as well as Maryland, Hercules Fence has built a strong reputation for excellence in both craftsmanship and customer service. We're looking for a dedicated professional who thrives in a fast-paced environment and brings proven experience in billing, collections, and construction accounting.

Key Responsibilities

  • Prepare and process all billing in the system, ensuring accurate coding to the appropriate billing categories.
  • Complete and submit AIA forms and billing through General Contractor platforms such as Textura and Wide Area Workflow (WAWF).
  • Collaborate closely with Project Managers to understand contract terms, billing schedules, and customer requirements.
  • Manage all collection activities; monitor accounts receivable and escalate unresolved issues to senior management as needed.
  • Responsible for administering project retainage, including calculating retainage amounts, ensuring proper withholdings on progress payments, maintaining retainage records, coordinating and following up on the release of retained funds upon project completion and acceptance.
  • Reconcile monthly billing statements and maintain accurate records of customer transactions.
  • Process and deposit incoming checks via bank deposit platforms, and manage credit card transactions.
  • Submit invoice allocations and deposit documentation to the Accounting department.
  • Generate and process lien releases based on payments received.
  • Ensure compliance with all federal, state, and company policies and regulations.
  • Maintain organized filing systems and retrieve documentation as needed.
  • Provide general office support as needed.

What We're Looking For

3–5 years of experience in accounts receivable, preferably in the construction industry.

  • Familiarity with government contracts and general construction billing practices.
  • Working knowledge of Sales & Use tax compliance.
  • Proficiency in Microsoft Office Suite, especially Excel and Outlook.
  • Experience with Deltek-ComputerEase construction accounting software is a plus.
  • Strong communication skills—both written and verbal.
  • Excellent organizational skills with the ability to multitask and work independently.
  • High level of discretion when handling confidential and sensitive information.
  • Critical thinker with strong problem-solving abilities.
  • A collaborative team player with a proactive and dependable work ethic.
