Hotel Front Desk Agent

I. Essential Functions
Assist members/guests in all front office-related areas in an efficient, courteous, and professional manner that maintains high standards of service and hospitality. Assist members and guests in making reservations.
Properly check in and check out hotel guests, and enter reservations into the Hotel Module.
II. Additional Responsibilities
Registers members/guests and assigns rooms; complies with special requests whenever possible
Assists in pre-registration and blocking of rooms for registration
Thoroughly understands and follows proper credit and cash handling policies and procedures
Knows room locations, amenities, types of rooms available and room rates
Uses suggestive selling techniques to sell rooms and to promote other services of the club
Provides information regarding room availability and rates for members and guests
Enters/updates direct member/guest reservations in Hotel Module and sends email confirmations
Enters/updates online travel agency (OTA) reservations in Hotel Module and, when applicable, ensures that the credit card guaranteeing the booking is valid
Processes member/guest check-outs using the correct payment method and ensuring all folio balances are settled
Coordinates room status updates by notifying housekeeping of all check-outs, late check-outs, early check-ins, special requests and part-day rooms
Transfers phone calls
Uses proper telephone etiquette
Answers email inquiries in a professional and courteous manner
Manages room keys
Assists in coordinating delivery of in-room amenity orders
Provides concierge services to all guests and members
Communicates with all guests in a clear and courteous manner
Operates front office equipment
Processes mail, packages and messages by routing them to the appropriate employee/department
Knows the daily activities and meetings taking place in the club
Attends department meetings
Coordinates guestroom maintenance work with the housekeeping and maintenance department
Reports unusual occurrences or requests to the Front Office Manager
Knows all safety and emergency procedures
Maintains the cleanliness and neatness of the front desk and lobby area
Performs other front desk-related tasks assigned by Front Office Manager
Knows all club rules and policies
Contacts wait listed guests
Completes, signs, and files the Daily Shift Tasks sheet
Completes Night Audit Reporting
