I. Essential Functions

Assist members/guests in all front office-related areas in an efficient, courteous, and professional manner that maintains high standards of service and hospitality. Assist members and guests in making reservations.

Properly check in and check out hotel guests, and enter reservations into the Hotel Module.

II. Additional Responsibilities

  1. Registers members/guests and assigns rooms; complies with special requests whenever possible

  2. Assists in pre-registration and blocking of rooms for registration

  3. Thoroughly understands and follows proper credit and cash handling policies and procedures

  4. Knows room locations, amenities, types of rooms available and room rates

  5. Uses suggestive selling techniques to sell rooms and to promote other services of the club

  6. Provides information regarding room availability and rates for members and guests

  7. Enters/updates direct member/guest reservations in Hotel Module and sends email confirmations

  8. Enters/updates online travel agency (OTA) reservations in Hotel Module and, when applicable, ensures that the credit card guaranteeing the booking is valid

  9. Processes member/guest check-outs using the correct payment method and ensuring all folio balances are settled

  10. Coordinates room status updates by notifying housekeeping of all check-outs, late check-outs, early check-ins, special requests and part-day rooms

  11. Transfers phone calls

  12. Uses proper telephone etiquette

  13. Answers email inquiries in a professional and courteous manner

  14. Manages room keys

  15. Assists in coordinating delivery of in-room amenity orders

  16. Provides concierge services to all guests and members

  17. Communicates with all guests in a clear and courteous manner

  18. Operates front office equipment

  19. Processes mail, packages and messages by routing them to the appropriate employee/department

  20. Knows the daily activities and meetings taking place in the club

  21. Attends department meetings

  22. Coordinates guestroom maintenance work with the housekeeping and maintenance department

  23. Reports unusual occurrences or requests to the Front Office Manager

  24. Knows all safety and emergency procedures

  25. Maintains the cleanliness and neatness of the front desk and lobby area

  26. Performs other front desk-related tasks assigned by Front Office Manager

  27. Knows all club rules and policies

  28. Contacts wait listed guests

  29. Completes, signs, and files the Daily Shift Tasks sheet

  30. Completes Night Audit Reporting

Front Desk Manager

IV. Supervises

No supervisory duties are included in this position
